Medical Secretary

Job summary

We are looking for a candidate with secretarial experience who can project a positive and friendly image to patients and who is professional, efficient and enthusiastic.

The successful candidate will be required to have a good level of education and communication skills. Confidence in using Microsoft Office essential. Knowledge of our clinical system EMIS and NHS Choose and Book desirable, but not essential as full training can be given.

Any employment is subject to two satisfactory references as well as pre-employment checks.

This position is for of 24 hours per week.

Interviews are expected to be held Monday 6th and Tuesday 7th October 2025.

Main duties of the job

To provide secretarial support and general administrative support to the GPs to include typing and general clerical support.

To log daily AccuRx Patient Triage requests for GPs.

Actioning referrals via tasks from GPs.

Actioning Advice & Guidance via tasks from GPs.

Actioning safeguarding reports coming into practice: logging them on spreadsheet.

Checking AWMP email when administration team need support.

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.

Answering telephone, liaising and helping patients with queries and appointments.

Any other ad-hoc administrative duties.

Job responsibilities

To provide an efficient typing service for GPs, health professionals and practice staff as required.

Provide support to GPs and nurses which includes 2 Week Wait urgent referrals, district nurse referrals and Independent Living etc.

To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.

Managing AccuRx Patient Triage.

Processing requests for information ie, SAR, insurance or solicitors letters and DVLA forms, as required

To use the AccuRx SMS service for patients.

To provide cover for fellow medical secretary during periods of sickness and annual leave.

To carry out password changes or unblocking Smart cards at the request of all staff in the practice.

Allocating Child Protection letters and queries to GPs by checking against protocol.

Booking of private medicals and liaising with GPs including updating and managing excel spreadsheet.

Updating GPs and practice staff on any changes regarding referrals.

Dealing with tasks from GPs, nurses, receptionists on a daily basis. Monitoring and prioritising urgent tasks and informing the team.

Processing referrals using the electronic referral system (ERS).

Processing patient/insurance company requests for patient records through emR system.

Following DNAR and TEP protocol and using Black Pear patient system

Updating all protocols where necessary for role

Following all protocols in administration office and ensuring Vital folder is current

Franking of mail and taking to Post Office.

Keeping ahead of any changes sent through by email from GPs, practice manager, deputy manager or outside agencies.

Keep personal online training up-to-date.

Checking staff pigeon holes and distributing internal and external post.

Tele-dermatology liaison.

Liaising with locums so that they understand how our referral system works.

Amending and uploading templates.

The post-holder to be aware of all current safeguarding policies which are available on our TeamNet portal.
