Job summary

We are a busy and friendly, 4 partner GP Practice looking for a full time Medical Receptionist with some Administration duties. We have a strong team ethic and we are looking to recruit someone who can demonstrate excellent customer care skills , to join our team in a rewarding and sometimes challenging role.

Main duties of the job

Previous experience of working in a GP practice or knowledge of working in an NHS setting is desirable but not essential as full training will be given. We are looking for someone with a good team working ethic, has the ability to prioritise and remain calm under pressure in an ever changing environment.

About us

You will be working in a team of 8 Medical Receptionists, who all cover reception on a rota basis, and are responsible for their own area of administration. We are looking for a candidate who is hard working and enthusiastic and will fit into our team. We are well supported by the GP partners and we provide excellent care to over 7000 patients. You will be enrolled into the NHS Pension scheme. Generous holiday entitlement.

JOB TITLE: MEDICAL RECEPTIONIST / ADMINISTRATOR

REPORTS TO: PRACTICE MANAGER

HOURS: 37.5 hours per week (Full Time)

Job Summary:

The purpose of the role is to:

  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

  • Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team

  • Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies

    Duties and Responsibilities:

    The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Office Manager / Practice Manager, dependent on current and evolving practice workload and staffing levels:

  • Opening up/locking-up of practice premises and maintaining security in accordance with practice protocols
  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Processing clerical tasks and ensuring these are completed safely
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Clearing and re-stock consulting rooms as required
  • Providing clerical assistance including word/data processing, filing, photocopying and scanning
  • Ordering, re-ordering and monitoring of stationery and other supplies if required
  • Dealing with clinical waste if required
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter.
  • Other administration tasks as directed by Office Manager.

You will be required to provide cover for sickness or leave as necessary.

We offer extended hours on Tuesday until 20:00, you will be required to cover this on a rota basis to cover staff sickness /leave.

Holidays 25 plus bank holidays increasing to 30 by 1 day per year after 2 years to a maximum of 30 days.

You will be enrolled onto the NHS Pension Scheme.

The post will be subject to a 6 month probation period, during which time, should the need arise, neither party will need to give notice of resignation.
