Job summary

Truro PCN has an exciting opportunity for an experienced Administrator to join the team. We are a friendly, forward-looking PCN who values the work-life balance we are able to provide allowing us to enjoy the beautiful coast and countryside of Cornwall.

About us:

Truro PCN consists of two GP Practices, both operating from Truro Health Park and together we have a dedicated team of GPs and staff caring for around 35,000 patients. We are learning practices, hosting GP trainees and Medical Students from the Peninsula School of Primary Care and the University of Exeter Medical School.

Main duties of the job

This new role is part-time for 16 hours per week, with some flexibility due to meeting timings.

You will be an experienced, motivated and enthusiastic Administrator, who will be supporting and working alongside the Clinical Director and Practice Managers.  You will have a good clinical background, excellent organisational, communication and influencing skills.  You will have drive to develop and contribute to the PCN and be able to work on your own initiative and as part of a team.

Job responsibilities

Post Overview

To oversee and organise the Primary Care Network (PCN). The successful candidate will be required to work within strict key performance indicators; they will be used to working unsupervised and report directly to the Clinical Director / Practice Managers.

The position will provide fluidity to manage day to day administrative functions and activities but the postholder will be empowered to manage PCN projects and represent the PCN at meetings if required.

Key Responsibilities

Operational responsibilities:

Provide direct support to the PCN Clinical Director and management team.

Organise meetings or events related to any PCN activity

Support implementation of initiatives through timely and relevant information analysis and administrative support

Deliver against agreed objectives, achieving quality outcomes.

Manage and prioritise workload daily and deal with the competing demands of the PCN.

Communication and relationships

Demonstrates ability to work as a member of a team.

Communicate effectively and sensitively and use language appropriate to patients / colleagues / third party’s level of understanding

Can recognise personal limitations and refer to more appropriate colleague(s) when necessary.

Actively work toward developing and maintaining positive working relationships both within and outside the PCN or group of PCNs.

Participate in relevant internal and external working groups and initiatives to provide information to inform the development and delivery of the PCNs strategic objectives.

Work collaboratively across organisations to develop and implement project management processes and data collection that will provide accurate and timely data.

Liaise with Practice Managers to create a PCN Patient Participation Group and support / organise the PCN PPG once established.

Liaise with Practice Managers to carry out PCN patient surveys.

Functional responsibilities

Produce, review, and circulate all documents required for meetings.

Minute meetings as required, drawing up action points, circulating and chasing outcomes.

Managing and appropriately distributing mail via an NHS email account.

Assist the Practice Managers with organising COVID vaccination clinics and inviting patients.

Support the Clinical Director and Practice Managers to deliver services efficiently reducing the burden on practices and find ways to encourage the practices to work together for their collective benefit.

Supporting PCN members with all other reasonable administrative requests.

Maintenance of IT based information systems and responsibility for key performance data:

Carry out timely and accurate information analysis and reporting on agreed areas of portfolio and present findings in an agreed manner.

Develop and maintain accurate electronic GP systems and / or databases required for the role.

To ensure the IT requirements for recording activity are adhered to in collaboration with other team members.

To provide agreed performance/activity data within the PCN.
