Job summary

1. JOB PURPOSE

To support the Practice and GPs by implementing document management optimisation protocols for all documentation coming into the Practice. To also support with the administration of prescription requests and provide support to the Reception team when required.

2. MAJOR DUTIES AND RESPONSIBILITIES

To read, scan, code, and action all documentation coming into the Practice concerning patients in line with the set protocol for document management

To ensure clinicians complete actions promptly and to escalate to the Practice Manager where appropriate

To arrange further appointments or tests as required (and within the postholders remit) that are specified from either the documentation or requested by the clinician

To report any significant events that occur concerning document management and participate in any associated learning from incidents

To support the administration of prescription requests coming into the Practice

To provide telephone Receptionist support in line with an established rota

To provide Reception cover in times of staff shortage as requested by the Practice Manager

To attend any training required to maintain effective performance in this role

Any other duties as requested by the Practice Manager or Partners that are deemed to be reasonable and within the capabilities of the postholder

Main duties of the job

Key Responsibilities:

  • Manage patient records using EMIS clinical system and Docman scanning software.
  • Handle Administrative tasks efficiently, including appointment scheduling, patient registration, and medical coding.
  • Ensure the accurate recording and processing of medical information in compliance with regulatory standards.
  • Assist healthcare professionals with administrative tasks as needed.
  • Maintain confidentiality and adhere to data protection Policies.
  • Previous experience working in a healthcare setting, preferably as a GP Administrator or medical secretary.

The postholder has contact with a wide range of people, including patients, GPs, practice nurses, HCAs, receptionists, health visitors, community nurses etc.

6. EDUCATION, SKILLS & EXPERIENCE

The postholder will hold GCSE English and Maths at Grade C or above. An IT qualification is desirable. The postholder will be computer literate (especially in the clinical system EMIS), have good communication skills and be able to organise and prioritise their own workload. They should be a good communicator with an excellent telephone manner. An understanding of medical terminology is desirable although training will be provided. Previous experience in the NHS or another healthcare setting is also desirable.
