Job summary

The Grovehurst Surgery in Sittingbourne is currently looking for an Assistant Practice Manager to support the Practice Manager in the day-to-day operations of the Practice.

We are a forward-thinking Practice, we are continually investing into our future and we are committed to delivering high quality care to our 7,600 patients.

We are looking for an experienced Assistant Practice manager who demonstrates strong leadership and a positive attitude to support the Practice Manager. The successful candidate must have good interpersonal skills, excellent communication skills, effective time management and the ability to follow policy and procedure.

The role is pivotal to improving the operational efficiencies of the practice, so requires motivation and passion. Salary includes the NHS Pension Scheme.

Main duties of the job

This is a role to support the Practice Manager in carrying out the day-to-day operations of the Practice and to provide an element of cover or source of advice in the event of their absence.

The post-holder will work closely with, and under the direction of, the Practice Manager to improve standards across a wide range of clinical and administrative activity.

This position is suitable for someone who wishes to demonstrate initiative and to develop their own skills further with a view to progression.

Job responsibilities

PRINCIPAL DUTIES AND RESPONSIBILITIES

Supporting the Practice Manager in the day-to-day operations of the practice.

Monitoring and administration of the Quality and Outcomes Framework (QOF) in accordance with QOF targets and guidelines.

Working knowledge of IT systems i.e. EMIS web, CQRS, MS Office.

Developing and maintaining data entry templates.

The organisation of Clinical searches in EMIS.

Ensure all contract and enhanced services payment claims are submitted appropriately, extracting and formatting data as required, including claims for personally administered items.

Proactively monitoring against targets for immunisations and vaccinations.

Provide first line-IT support to the practice team in liaison with the IT subcontractor.

Purchasing

Management of the National Diabetes Programme.

Weekly childhood immunisation reports.

The post-holder will be aware of the various statutory requirements and will assist in implementation as directed by the Practice Manager. There is a need to work closely with Reception and Clinical staff to ensure the smooth running of the practice, reporting any problems encountered to the relevant person.

Convene meetings, prepare agendas and paperwork, take minutes and ensure distribution of the minutes as necessary.

Assist with production and upkeep of practice procedures, protocols and manuals.

Deal with more complex enquiries and requests from patients.

Managing Friends and Family responses.

Undertake ad-hoc duties and tasks as required.

TEAMWORK

Act as a useful member of the Primary Care team.

Provide support to the Practice Manager and Clinicians to ensure the efficient discharge of all duties as required.

Have a responsible and flexible approach to duties and availability.

Participate actively in training, meetings and personal development.

Train Clinicians and non-Clinicians on new or altered templates.

SELF

Establish and maintain high-level standards and expectations for performance. Be constantly aware of what is the best use of own time; manage interruptions effectively.

Work effectively with Clinicians, management and peers.

Act with integrity

Actively participate in training and development opportunities.

Represent the Practice to the highest standards.
