Job Title: MEDICAL SECRETARY

Location: Blackfriars Medical Practice, Chapel Street, Salford
Job Summary
Key Responsibilities
To provide an overall secretarial support service to the practice manager, senior partner and other healthcare professionals. To be the lead in the clinical admin work including referrals, note summary and reporting.
Day to Day Role
- Maintenance of the records room including retrieving and re-filing of records when required
- Pulling, sorting and disseminating patient records in preparation for summary
- Reviewing medical records and producing an accurate summary of patients medical history
- Read coding, updating recalls and journal notes appropriately and in line with practice policy
- Monitoring the progress of note summarising and reporting back to the practice manager and in the practice meeting where appropriate
- To provide an efficient audio, copy typing and word processing service for GPs and other clinicians as required. Including the typing of letters, reports, patient referrals and others in an accurate and quality manner.
- To play an active part in QOF and monitor multiple indicators
- To play a part in the induction of new receptionists
- To assist the practice manager with all other clerical and administrative duties when required.
- To run search and reports on vision when appropriate and required.
- To play an active role in Information Governance
- To complete and update cervical cytology on open Exeter.
- To cover the reception in the event of staff shortage.
- To minute practice meetings.
- To support the lead receptionist in the maintenance of the reception area including the digital screen, the patient leaflets, patient magazines and notice boards.
- To cover some or all of the management duties with the support of the lead receptionist in the event of the practice manager being absent.
- To Maintain and update Organ Doner Registers
- To check and action docman actions daily.

- To work flexibly as part of the surgery team to ensure the effective delivery of health care to patients
- To provide the highest level of customer / patient service to patients, members of the public, clinicians and other agencies
- To use the clinical system efficiently and update information in line with practice policies
- To liaise with colleagues from secondary care and other providers to ensure smooth communication of referrals and other services
- To report any ideas for improvement to the practice policies to the practice manager for consideration.
- To be aware of the security measures in the practice and implement at all times
- To come to work in acceptable attire and maintain the highest levels of personal hygiene.
- Maintain good working relationships and understand that it is your responsibility to work harmoniously with colleagues.
- To report any incidents where a high level of service could not be achieved to the practice manager immediately so this can be followed up with the relevant parties.
- Take reasonable care of his/her own safety and that of other persons who may be affected by his/her act or omission.
