Job summary

We are a team of General Practice Assistants who support the practice in delivering excellent patient care by providing direct administrative support to our GPs. A developing team who are willing to deliver as much additional support to our GPs as, where and when they require it.

You will work with an assigned group of GPs, supporting them with:

  • Task management
  • Liaison with other agencies
  • Arranging, managing and minuting meetings
  • Planning and diary management
  • Quality improvement activities
  • Patient care and patient appointments

Main duties of the job

Your role will focus on supporting an assigned group of GPs to work as efficiently as possible, streamlining the way we do things in the practice. The administrative support you provide will support our GPs to spend less time on paperwork and organisation and more time with patients. To do this role successfully you will need to feel comfortable working in a busy and demanding environment, be computer literate (and adapt well to using new technology) and have excellent communication and administrative skills.

You will have excellent negotiation skills and be confident managing your own workload. Our ideal candidate will have experience of working in a health or social care setting and a deep understanding of patient care needs. We are also interested in hearing from people from a wide range of backgrounds who can demonstrate sound administrative skills and experience of delivering high quality customer or patient care.

We are a large rural GP practice based in the East Riding of Yorkshire. We look after around 34,000 patients and work from 7 different sites, you must also be willing to travel between sites as necessary.

Role Purpose:

Task Management

Complete basic (non-opinion) forms and core elements of some forms for the GP to approve and sign

File normal blood results for assigned GPs, working to an agreed protocol

Run daily searches to identify all lab reports that have been commented on and filed; action these requests

Complete patient-related tasks assigned to you by a GP

Co-ordinate general correspondence on behalf of assigned GPs

Monitor GP buddy groups to ensure that tasks, bloods, referrals etc. are all up to date including during periods of holiday

Code patient data and ensure accurate recording of information in the patient record

Liaison with Other Agencies

Complete online referrals of patients to other providers (e.g. hospital consultants) at the request of the GP

Help GPs liaise with outside agencies e.g. getting another health professional on the phone to ask for advice or arrange admission with the GP can continue with their consultation(s)

Meetings

Support GP meetings with preparing agendas, taking minutes and maintaining action trackers (e.g. GP Lead Role Meeting, Clinical Meeting, Clinical Quality Meeting etc.)

Patient Appointments

Arrange appointments, tests and follow up appointments for patients

Reschedule GP appointments/clinics as required e.g. as a result of GP sickness absence

Provide support for inviting patients to COVID and Flu Vaccination Programmes and any other prioritised practice initiatives

Make suggestions for process improvements to improve attendance and reduce frequency of patient non-attendance

Planning and Diary Management

Make best use of GP time by effective scheduling of follow up appointments, palliative care home visits etc.

Manage process for future patient recalls e.g. when a patient needs to have a follow-up scan after a period of time

Quality Improvement

Provide administrative support to GPs in achieving key quality targets (Quality Outcomes Framework, Investment & Impact Fund, and Primary Care Network Direct Enhanced Service)

Support audit and quality improvement activity for assigned GPs

Undertake projects to collect and improve the quality of information held with regard to patients e.g. preferred means of communication

Patient Care

Explain treatment procedures to patients

Manage effective communications with patients on behalf of assigned GPs (text messaging, calling etc.)

Support the development and implementation of projects and initiatives aimed at improving care for patients
