You will be responsible for providing leadership and direction to our Dispensary Team, ensuring that we deliver a safe, efficient and patient-focused dispensing service.
Supported by our Dispensary Team Leaders, you will be responsible for our large team of dispensers providing services from five dispensaries within our GP surgeries. This is a new role which will suit an experienced dispenser seeking to an opportunity to utilise their leadership and management skills.

Main duties of the job
You will ensure the smooth running of our dispensary function and will be a key member of our management team. You will be responsible for ensuring that our multi-site dispensaries function collaboratively as a single unit and for maximising dispensary profitability. You will work closely with managers of other teams to contribute towards the overall aims and objectives of the practice.
To be successful in this role you will be a qualified dispenser with experience of managing a team. You will have an established track record in day to day operational management of a dispensary or pharmacy and be able to demonstrate sound understanding of how to achieve efficient processes and maximise income.

We are a large rural practice with over 35,000 patients. As a single-practice Primary Care Network, we have a wonderful opportunity to transform care for our patients. We operate from 7 locations across Holderness and you must also be willing to travel between sites as necessary. Our hard-working and dedicated team includes 24 GPs, an extensive multi-disciplinary team of healthcare professionals and a great patient services team.

Role Purpose:
To provide leadership and direction to our Dispensary Team, ensuring that we deliver a safe, efficient and patient-focused dispensing service
Leadership
Ensure the smooth running of the dispensary function
As a member of the management team, offer leadership and support to the dispensary team
Develop and implement a dispensary work plan that contributes to achievement of the practices overall strategic objectives
Ensure that our multi-site dispensaries function collaboratively as a single unit
Promote equality and diversity in all aspects of the role and ensure that the rights and needs of patients, carers and colleagues are recognised
Stay up to date with best practice and develop proposals for ongoing development and improvement of the dispensary service
Financial Management
Ensure the financial resilience of the dispensary through:
o Effective stock management
o Retention of dispensing patients
o Maximising financial claims and income from incentive and medicines optimisation schemes
o Liaising with wholesalers to ensure appropriate discounts and deals are obtained
Monitor staff costs and maximise productivity
Design and implement processes to ensure effective cash management within the dispensary
Policies & Procedures
Develop and implement robust policies and procedures to ensure errors are minimised and patient safety is maintained as a priority
Ensure that dispensary teams operate at all times within Standard Operating Procedures
Comply with all relevant deadlines for reports and financial claims
Ensure EMIS is fully utilised to support the smooth running of the dispensary
Team Management
Provide direct line management to Dispensary Team Leaders
Undertake staff supervision and appraisals
Oversee the recruitment, induction and training of new staff within the dispensary team
Support the professional development of the dispensary team
Promote teamwork and co-operation within the dispensary team and across the wider practice team
Oversee the management of dispensary team rotas, ensuring that the practice makes best use of available resources across all sites
Communication
Ensure that a friendly, efficient, professional and consistent service is provided to patients at all sites
Establish effective communication methods to ensure those within the team and across the whole practice are kept informed of key issues relating to dispensary
Produce timely and effective communications for patients regarding dispensary services, including any changes to existing services
Develop effective working relationships within the practice including with the GP lead for dispensary, Lead Clinical Pharmacist and management team colleagues
Quality & Safety
Monitor performance across a range of indicators including dispensing timescales and take corrective action where required
Promptly resolve patient complaints and apply learning to improve future service delivery
Comply with all legislative and regulatory requirements
Ensure safety alerts are appropriately cascaded and actions implemented
Maintain knowledge of best practice and make appropriate recommendations for implementation
Record and monitor SEAs, ensuring that learning is cascaded and effectively embedded
Recognise and report safeguarding concerns using the established practice processes
Ensure all Health & Safety and Infection Control standards are met within the practices dispensaries
Lead the dispensary team in completion of relevant audits and quality improvement activities including the Dispensing Services Quality Scheme (DSQS)
Person Specification
Qualifications
Essential
- GCSE (or equivalent) English and Mathematics at Grade C or above
- Qualified Dispenser (Pharmacy Technician, NVQ Level 3 or 2)
Desirable
- Higher level qualifications (e.g. degree)
- Management qualification
- Evidence of relevant continuing professional development
Experience
Essential
- Significant experience of working in a dispensary
- Experience of managing a dispensary or pharmacy
- Experience of managing staff
- Experience of designing and implementing policies and procedures
- Experience of audits and quality improvement activity
- Experience of identifying and implementing best practice
- Experience of managing the financial aspects of a dispensary
- Experience of resolving complaints
- Confident IT user including Microsoft Office and Clinical Systems (e.g. EMIS or SystmOne)
- Excellent communication skills (written and verbal)
- Detailed knowledge of all aspects of day to day dispensary operations including stock management, ordering, rota planning, customer services, health and safety and infection control, month end procedures etc.
