Job summary

We are looking for someone to join our friendly but busy Reception team. If you work well under pressure, relish a challenge, like the fact that no two days are the same, and want to be part of a growing team who aim to provide patients with the best service possible, then this may be the job for you.

The successful candidate will need to demonstrate excellent communication and IT skills and will ideally have experience in working in General Practice however for the right candidate, training can be provided.

Main duties of the job

The duties of a medical receptionist are many and varied. They range from the daily management of telephone triage systems, assisting and directing patients to appropriate services, dealing with tasks generated by clinical staff, data entry onto patient records through to processing new registrations and undertaking general administrative duties. About us

We are a GP led, Dispensing practice based in a rural location on the borders of Lincolnshire, Nottinghamshire and Leicestershire. We are a friendly team comprising of 6 GPs, 2 Practice Nurses, Clinical Pharmacists, Dispensers, an HCA and Phlebotomist who are superbly supported by our Reception and Administration teams. We firmly believe that it takes the entire team to make the Practice what it is and our philosophy is very much that patient centered care is at the heart of everything we do. Job description

Job responsibilities

The following are the core responsibilities of the receptionist There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Welcome and receive all patients and visitors to the Practice projecting a positive and friendly image to both patients and visitors either in person or on the telephone

Maintaining and monitoring the practice appointment system

Process all requests for appointments, visits and telephone and e-requests (via askmyGP) ensuring all calls are directed to the appropriate healthcare professional and ensuring careful and accurate recording of details at all times

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Signpost patients to the correct service

Explain Practice arrangements and formal requirements to new patients wishing to register as well as those seeking temporary registration ensuring all registration procedures are completed

Initiating contact with and responding to, requests from patients, team members and external agencies

Action tasks from GPs and other healthcare professionals using the Practice clinical system

Read code data on SystmOne

Photocopy documentation as required

Receive and workflow external post date stamping all correspondence

Monitor and workflow any relevant messages in the practice generic email account

Maintenance of all new patient registration paperwork, ensuring that the most up to date versions are being given to patients.

Data entry of new and temporary registrations and relevant patient information as required ensuring accuracy of detail and prompt appropriate delivery

Input data into the patients healthcare records as necessary

Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the Secretarial team

Accept payment for private (none General Medical Services) work undertaken, ensuring processes are followed in line with Practice policy.

Manage all queries as necessary in an efficient manner

Carry out system searches as requested

Maintain a clean, tidy, effective working area at all times

Monitor and maintain the reception/admin area and notice boards

Support all clinical staff with general tasks as requested

Scanning of patient related documentation and attaching scanned documents to patients healthcare records with associated read coding

Ensure that mandatory training is kept up to date with particular reference to Information Governance/GDPR training

Secondary Responsibilities

In addition to the primary responsibilities, the medical receptionist may be requested to:

Partake in audit as directed by the audit lead

Partake in the creation and review of Reception/Admin protocols/standard operating procedures

Learn to undertake basic administration tasks where necessary

Support administrative and reception staff, providing cover during staff absences

Complete opening and closing procedures in accordance with the duty rota
