Job summary

We are looking for a hardworking, enthusiastic individual who has excellent IT skills, and an eye for detail, who has the drive to help maintain, develop and implement processes. You will be joining a friendly, GP led Practice based in a rural location just off the A1. Main duties of the job

The successful candidate will be responsible for undertaking a wide range of data inputting duties in support of the multidisciplinary team. This will include but is not limited to, read coding information to patients clinical records from a range of correspondence from other care service providers and sources via the practice clinical system. Assist in the delivery of outcomes and recommendations identified by data quality audits. Assist in the day-to-day functionality of the practice IT systems. Work with colleagues in the creation and maintenance of patient searches, reporting data and providing support to the multidisciplinary team, ensuring all issues are resolved or escalated in a timely manner.

We are a GP led, Dispensing practice based in a rural location on the borders of Lincolnshire, Nottinghamshire and Leicestershire. We are friendly team comprising of 5 GPs, 2 Practice Nurses, Clinical Pharmacists, Dispensers and an HCA who are superbly supported by our Reception and Administration teams. Job description

Job responsibilities

The following are the core responsibilities of the data administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Extracting the required data from clinical correspondence and Read Coding data onto SystmOne

b. Processing of EDTs (Electronic Discharge Transmissions)

c. Maintenance of registration links and handling of associated queries

d. Initiation of 30 days patient deductions

e. Maintenance of pathology reports

f. Processing of out of hours reports

g. Monitoring of generic email account ensuring that administrative emails are dealt with in a timely manner

h. Processing of incoming/outgoing records, ensuring new patient records are received electronically and imported onto the clinical system

i. Monitoring patient call and recall systems for Disease Management

j. Maintain effective security of data all times

k. Support the team in the effective use of searches, audits and recalls

l. Provide guidance in trouble shooting when requested

m. Act as a liaison between the practice and manage all fault reporting

n. Configure searches and interpret data for audit purposes

o. Summarising of patient notes

p. Initiate data quality improvement projects

q. Collate the required data for reporting purposes

r. Code results and upload data as required

s. Assist the Deputy Practice Manager in planning/administration of the annual Influenza vaccination campaign

t. Processing of temporary resident forms

Secondary Responsibilities

In addition to the primary responsibilities, the data administrator will be requested to:

a. Partake in audit as directed by the audit lead

b. Assist in the administration and coding of safeguarding documentation ensuring timescales are met as well as assist with queries regarding safeguarding matters.

c. Work alongside the Safeguarding Leads and provide administrative support for quarterly safeguarding meetings, undertaking necessary research prior to meetings as well as minute taking.

d. Assist in the preparation for Enhanced Services reporting (both manual and via CQRS)

e. Assist in the administration of the Frailty register working closely with the Care Co-ordinator

f. Assist in the administration/monitoring of QOF

g. Assist in the administration/monitoring of the Learning Disabilities Enhanced Service

h. Assist in the administration/monitoring of the Palliative Care register

i. Maintenance and submission of Friends and Family Test data
