Job summary

Blyth Road Medical Centre is looking for an enthusiastic, flexible individual to join our friendly team as a Receptionist/Secretary.

We are looking for someone to work a minimum of 11 hours a week on set shifts, with additional hours, up to 37.5 hours a week, to cover holidays and sickness. Hours will be worked Monday to Friday between 8am - 6:30pm. This post is primarily to cover holidays and sickness, so it is essential that applicants are flexible to cover various shifts between these times and work additional hours where needed up to a maximum of 37.5 hours/week. There will be 2 set regular shifts, on a Thursday 8am - 2pm and Friday 1:30 - 6:30pm.

Interviews will be held on Thursday 7th or Friday 8th December 2023.

Main duties of the job

As a member of the Practice Reception Team you will be the first point of contact for patients and outside agencies visiting or telephoning the practice. You will need to display a courteous manner, good communication and keyboard skills are essential, along with the ability to work efficiently under pressure, adapt quickly to respond to multiple demands and want to work as part of a team. Regular shifts will be Thursday 8am - 2pm to cover Reception and Friday 1:30-6:30pm to cover Secretary duties/Reception when required.

About us

We are a very friendly surgery, with around 6300 patients. Our clinical team consists of 2 GPs, 3 ANPs, 2 Practice Nurses, 2 HCA's and 1 Phlebotomist. We have an admin team of 12, which includes 6 Receptionists and use Systmone.

Annual leave is in line with agenda for change, starting at 27 days plus bank holidays (pro rata) and increases over time.

Responsible to: Partners, Practice Manager & Senior Receptionist

Job Summary

To provide a high quality Reception service to patients, doctors and other members of the Primary Health Care Team. To contribute to the maintenance of patient confidentiality at all times inside and outside the Practice.

Reception Duties

Opening the premises, checking heating and ventilation, checking the security and safety of the premises at the end of each day.

Receiving, checking and printing requests for repeat prescriptions when required

Receiving and routing patients on arrival, in courteous and efficient manner

Answering general enquiries at the reception desk and by telephone, explaining surgery procedures, making new and follow-up appointments

Dealing with enquiries at reception desk

Filing and extracting medical records, hospital reports and letters and any other documentation relating to these

Receiving, recording and passing of detailed and accurate requests for home visits to the clinicians

Receiving, recording and passing accurate messages for all members of the practice.

Deal with new patient registrations and temporary resident registrations

Ensuring the reception area is left tidy and ready for use by incoming colleagues, together with information about urgent and unresolved matters

Offering administrative support to the practice nurses

To help the practice maintain accurate and up-to-date patient computer database and to offer support with practice statistics and audit

To deal with Insurance Claims and Access to Health Records if required

To participate in appropriate meetings

To help with refreshments for doctors and visitors

To undertake other duties as may be determined from time to time, commensurate with the range of activities described above

To provide cover in the absence of other members of staff

To participate in accordance with the need for individual and practice needs.

Actioning tasks and emails

Any other duties assigned by the Partners, Practice Managers or Senior Receptionist

Secretary Duties

To type other referrals including private referrals

To provide Secretarial support for clinical staff

To make appointments though the Electronic Booking System (e-RS)

Attach referrals and other investigations and send through e-RS

Deal with all e-RS enquiries

To receive tasks from clinical staff and to action these sending for patients or repeat tests where indicated

Use C-The Signs to record all Two Week Waits and Cancer Diagnoses
