Job summary

A great opportunity has arisen to join our fantastic team dedicated to providing quality healthcare to our patients, in a role that directly impacts on people's lives. Do you have experience of primary care, other healthcare experience, or significant and tested customer service skills? And/or do you have strong admin skills - confident with IT, attention to detail and an ability to learn and retain new information?

You will play a key role in helping clinicians manage their patients, ensuring they can access our services and follow-up appropriately.

All of our admin team are involved in the critical task of enabling access to services and booking the appointment best suited to their needs. Equally, the role requires efficient, accurate administrative skills. So, in addition to dealing with patients (listening and interpreting their needs to both advise and book them with the most appropriate clinician), you will equally be involved in a wide range of administrative duties. You will ensure the safe flow of information around the practice, ensuring patients are followed up correctly and receive the care they need. This involves manging correspondence, coding it appropriately, ensuing that the clinicians have all the relevant information they need.

Main duties of the job

You will listen intently, problem-solve on the go and enjoy finding solutions. Most importantly, you will enjoy being at the centre of patient care. You will directly help patients and your team, and have the opportunity to be the difference - to impact positively in the lives of patients.

You will either have significant patient-facing or customer service experience dealing with complex situations, or be able to demonstrate significant admin experience. However, attitude is everything. You will need an eye for detail, a calm head and a sense of humour. You will appreciate that a 'one size fits all' approach doesn't work, either with clinicians or patients. Listening skills and the ability to interpret what you hear are vital. Empathy and negotiation skills are key, to enable you to work with patients to agree the best route forward.

We are a dispensing GMS practice situated in the lovely market town of Ashbourne, on the edge of the beautiful Peak District (DE6 1RR). We work from purpose-built premises (completed in 2004) and have a list size of c8200 patients. We use SystmOne clinical system, and have consistently high QOF achievement.

Job description

Job responsibilities

To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

PRIMARY RESPONSIBILITIES

  • Maintaining and monitoring the practice appointment system
  • Process personal, telephone and e-requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Process incoming and outgoing mail (via clinical system and email)
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Participate in patient recall processes as required
  • Action clinical system tasks
  • Photocopy documentation as required
  • File and store records as required
  • Data entry of new and temporary registrations and relevant patient information as required
  • Input data into the patients healthcare records as necessary
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Manage all queries (including administrative queries) as necessary in an efficient manner
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards
  • Support all staff with general tasks as requested
