Job summary

We are looking for an enthusiastic new receptionist for 16-22 hours per week over 3-4 days to join our supportive team. The post would suit somebody with an interest in health and patient care who works well under pressure and likes a busy but rewarding working environment. Although previous experience would be an advantage, this is not essential as full training will be provided. There may be opportunity to increase hours in the future if desired by the post holder.

Main duties of the job

The role of a GP receptionist is varied and includes answering the telephone, booking appointments, greeting patients and processing clinical letters and repeat prescriptions. Morning sessions start at 8.00 am and afternoon sessions run until 5.30 and 6.30 pm. The post holder will need to be able to work flexibly at times and provide cover from time to time when colleagues are on leave.

About us

We are a friendly and supportive GP surgery in Northolt with just over 7,500 patients. We have a team of approximately 20 staff including 7-8 receptionists. We have an excellent reputation within the local area and high levels of patient satisfaction. Our waiting time for routine appointment with a doctor is usually 2-4 days.

Job description

Job responsibilities

The Grove Medical Practice is a busy six doctor training practice with over 7,500 patients. We are looking for a part-time receptionist to join our friendly team. The post holder will be required to work 3-4 days per week and be able to provide cover for colleagues during leave including covering a Wednesday evening until 8.30pm 2-3 times a year. The role of a GP receptionist can be demanding at times and the post holder will need to be able to work effectively and calmly under pressure. The post holder must be available to start morning sessions at 8.00 am on some days and finish at least one or two afternoon sessions per week at 5.30 or 6.30 pm.

Reception duties

  • To make appointments for patients with doctors, nurses and pharmacists on the practices clinical system (SystmOne), ensuring that practice procedure is followed and the patient booked with the most appropriate health care professional.

  • To signpost patients to eConsult and community pharmacies as appropriate in line with the practices procedure.

  • To welcome and book in patients arriving for their appointment.

  • To welcome and register new patients to the practice, ensuring all paperwork is completed and practice procedures followed.

  • To record all requests for home visits on the practices clinical system and notify doctors.

  • To respond to patient requests for results and to contact patients who are asked to come in following tests/investigations.

  • To answer the telephone promptly and deal with or redirect queries.

  • To take messages as required for other members of staff.

  • To maintain a professional and helpful manner towards patients and other visitors to the practice at all times.

Clerical duties

  • To request photographs from patients ahead of remote doctor appointments where appropriate.

  • To scan hospital letters into the practices clinical system (SystmOne).

  • To file hospital letters and results as required in medical records.

  • To process repeat prescription requests in line with the practices Repeat Prescribing Policy ready for doctor verification and electronic signature.

  • To amalgamate records received for new patients with temporary practice records.

  • To extract/print records of patients leaving the practice and send to NHS England in line with practice procedures.

  • To open post and distribute as required.

  • To check stock levels of your assigned clinical room on a weekly basis and restock room as required.

  • To email referral requests as required and post mail at the end of each session.

  • To photocopy patient records as required by the practice secretary.

  • To book transport for patients attending hospital when clinically required.

  • To book interpreters for patients as required.

  • To leave reception tidy and ready for incoming colleagues, ensuring any outstanding actions are communicated to colleagues and properly documented.

Opening and closing the practice

  • To open the premises in the morning and prepare for surgeries, with calls commencing from 8.00 am.

  • To tidy and air the waiting room at the end of each session.

  • To ensure the premises are locked and secure and the alarm set at the end of each day (locking up is always undertaken by at least two people).

Other

  • To make coffee/tea as required and ensure the kitchen is left tidily.

  • To attend and contribute to receptionist and practice team meetings.

  • To provide cover for colleagues during times of annual or sick leave.

  • To undertake any other administrative task reasonably delegated to you by doctors or managerial staff.

  • To participate in a rota for Saturday mornings (currently the practice has agreed to be open 5-6 Saturdays a year in total only).
