Job summary

Have you experience of Strategic Planning and could you lead and manage all aspects of our practice functionality, motivating, leading and managing our operational teams?

This is a key role in the group with the main purpose of leading the strategic planning process, leading, managing and coordinating all aspects of practice functionality as well as motivating, managing and leading operational teams in the day to day running of the group.

You would be optimising efficiency and financial performance, ensuring the Group achieves its long-term strategic objectives within a profitable safe and effective working environment as well as guiding and developing the Group to meet future business needs.

Main duties of the job

This role is vital to Ruby Country Medical Group with responsibility for leading the strategic planning process, managing strategic risk as well as looking at future Group development.

On a day to day basis it is a busy and diverse role with responsibility for the leadership and management of the operational teams in HR, Finance, Operations, Quality as well as Estates Management and Health and Safety.

Ruby Country Medical Group brings together Holsworthy, Stratton and Hatherleigh Medical Centres in North Devon and Cornwall. We provide care for 26,000 patients across three sites with an experienced and well qualified team that includes:

GPs, Clinical Pharmacist, paramedics, nurse practitioners, practice nurses, health care assistants and phlebotomists, practice management, administrative support and patient services teams.

Job Overview

To lead, manage and coordinate all aspects of practice functionality, motivating, managing and leading operational teams in the day to day running of the group. Optimising efficiency and financial performance, ensuring the group achieves its long-term strategic objectives in a safe and effective working environment. To guide and develop the Practice to meet future business needs.

Key Responsibilities and Duties

Practice Strategic Planning

Lead the strategic planning process, managing strategic risk as well as taking an overview on practice strategy, formulating objectives and researching and developing ideas for future Practice development

Advise on policy matters and challenge pre-conceived ideas, experiences, and individual views to ensure a robust and well-considered policy result.

To have a pro-active awareness of current trends and developments within the NHS and the wider healthcare community, to anticipate and plan for future initiatives, and to work with partners and management team on the formulation of a practice development plan for all aspects of the Practice.

Be responsible for managing any changes within the partnership, including keeping abreast of current affairs, identifying potential threats and opportunities as well as managing other changes including retirement, new appointments, legal, financial and patient related implications.

Lead the practice team, monitoring and evaluating performance through regular one to one, team and annual appraisal meetings.

Work effectively, participate in and contribute positively to the practice team ensuring good communication about all aspects of the practice

Develop and maintain new and existing services, actively identifying new opportunities, assessing viability and preparing business plans for assessment.

Develop and maintain effective communication both within the Practice and with relevant outside agencies and professional advisors.

Developing and maintaining a network of external agencies and professional advisors.

Human Resources

Oversee the HR function working with the HR Manager to develop and implement robust and appropriate methods, policies and procedures relating to all aspects of employment including recruitment, induction, retention, appraisal, development, salary review, performance, discipline, grievance and management of staff and partners.

Financial Management

Working with the Finance Manager take financial responsibility for the group business operation ensuring that suitable systems, policies, procedures and insurances are in place to enable successful performance against budget and cash flow.

Maximise income through utilising diverse income sources and setting financially sound and sustainable budgets for the group on an annual basis.

Maintain an ongoing and effective relationship with the accountant, overseeing group accounts, and ensuring year end accounts are presented.

Operational Patients & Services

Through the Operations Managers ensure that the practices within the group offer an efficient, effective, compassionate and coordinated service to patients contacting or visiting the practice to make or attend appointments and seek advice.

Through the Operations Managers ensure that an appropriate and timely service is offered to process all Clinical Administration and secretarial activities in response to correspondence and instructions received from hospitals, clinics, GPs and other practices.

Communication and Information Technology

Represent the group as the Caldicott Guardian and ensure that all staff are aware of and comply with the requirements of GDPR and Data Protection legislation.

Act as the Information Governance Lead for the group.

Maintain, develop and publish a current Communications Strategy

Quality

Through the Clinical Governance and Quality Manager ensure that all Quality and Clinical Governance issues, including complaints from patients, are resolved appropriately in a timely manner ensuring that any potential lessons to learn are documented and actioned.

Regularly audit complaints received by the group, implementing any necessary changes to systems or processes where identified.

Estates Management and Health and Safety

Through the Operations Managers be responsible for the management of all premises within the group, including internal post, cleaning, maintenance, co-ordinating moves and premises remodelling, making contact with landlords for required permissions as appropriate.

Working with Operations Managers ensure that an appropriate and capable telephone system is in operation that will enable Patients and staff to make contact with the practice when needed.

Working with the Finance Manager ensure that appropriate and sufficient insurance cover is obtained for premises, contents and computers.

Working with Operations Managers ensure that appropriate security systems are in operation at all premises offering full CCTV and alarm coverage.

General

Approve LES, DES and other contractual services ensuring they are achievable and in alignment with company strategy.

Develop Maintain and market new and existing services to the benefit of RCMG
