Job summary

We are looking for an enthusiastic, hardworking and motivated IT Administrator to join our friendly Group to be part of the administration team assisting in the development and maintenance of the Group IT systems.

The position will be based at Holsworthy Medical Centre, however you will be required to travel between our three sites (Holsworthy, Stratton and Hatherleigh) when required. Therefore, the successful candidate will need a full driving licence and vehicle.

You must be willing and able to learn new skills. Training will be given to the successful candidate.

The role is advertised for 20 hours a week. These hours will be split over 4 days covering mornings;

Monday, Tuesday, Thursday and Friday 8am - 1pm

Main duties of the job

The post holder will be responsible for the production of performance and quality standards within the Group and to administer data quality issues, and provide advice and guidance to all Group staff in the use of the clinical system (SystmOne).

Job responsibilities

Main responsibilities

At the request of the Managing Partner or GP to provide any of the following reports at intervals to be established or on an adhoc basis; Targets, Audit/data/disease groups, Recalls, Workload analysis and Appointment analysis

In conjunction with the Managing Partner, establish a set of protocols for the Group to ensure the accurate input of data and enable access of information as necessary

To act as data input clerk as required, with responsibility for the supervision and inputting of data according to established routine e.g. hospital letters, laboratory results, forms etc.

Training of all present and new staff in computer techniques and implementing all necessary software updates and renewals

In conjunction with the Managing Partner to maintain adequate attendance of training courses or communication with the computer system supplier, to ensure that your own standards of capability are high

To be responsible for the establishment of training programmes for all personnel to ensure competence in their own particular fields of usage

To establish procedures for adequate regular daily backup of all systems

To ensure proper records are maintained concerning System Suppliers and support, particularly in respect of third party software and that necessary backups are taken are stored safely

In conjunction with the Managing Partner to ensure that the computer is adequately insured, that measures are taken to protect against theft or damage and that information is appropriately password protected

To be aware of the GDPR Regulation and its importance and relevance to General Practice and to advise on upgrading or renewing as appropriate

To maintain awareness within the Group of Health and Safety matters, particularly regarding computer usage and to advise the Managing Partner accordingly. If necessary, conduct a training programme for personnel with regard to this

Responsible for the Registration Links operations with the Health Authority

Responsible for arranging the appointment templates for the Doctors, Nurses, etc.

To assist is general office duties as required due to absence or annual leave

To assist and advise with regard to setting up templates, using read codes for the purpose of extracting data from the computer for the use of audits

To maintain the computer system, GP rotas, appointment system etc.

Ensure all computers are updated with virus software etc.

Identify problem if printer/computer goes down

Assist staff/GPs with computer problems adhoc

GP links registration

Pathlab links - ensure tests are assigned to correct GPs

Serco out of hours letters, expected death forms etc.

Scanning assist summariser with scanning queries

Apollo check work flow

Information screen in waiting room maintain and update patient information

Appointments - GPs and Nurses

Choose & Book smartcards, liaise with secretary, GPs and PCT, log problems

Maintain & update in-house intranet

Deduction of patients queries from PCSE & patients regarding registration

Quarterly PCSA reconciliation close quarter transactions Cornwall/Devon

Temporary resident submission monthly

Searches minor surgery histology, drugs, nurse led clinics chronic diseases, flus, pneumos etc.

Population Manager run monthly searches for GPs, monitor changes i.e. read codes, drop below target level identify why

Batch change read codes

Create rotas for GPs Duty/Backup/Evening rotas/Extra commitment i.e. minor ops, medicals

Keep the main surgery diary up to date, inform partners/staff/hospital of any changes
