Job summary

PriDerm are looking for an enthusiastic, motivated and hardworking administrator to join our busy community deramtology team. This role will be worked over 5 days and would ideally be full time 37.5hrs

Main duties of the job

To welcome patients and visitors to the service by telephone and in person.

To respond to telephone calls in a timely, professional and helpful manner, to take messages with accuracy and obtaining sufficient patient details.

Your responsibilities will be to ensure that all patients booked into clinics have their appointment and intention to attend confirmed in a timely fashion, this also includes patients being booked into cancellation slots at short notice as required.

Job responsibilities

To welcome patients and visitors to the service

Process requests and deal with all general enquiries from patients by telephone and in person

Ensure an effective and efficient telephone service is provided to patients and any other parties who contact the service. Respond to telephone calls in a timely, professional and helpful manner.

Using your own judgement and communication skills, ensure that patients who need an urgent consultation, are seen in a sensible and reasonable manner.

Help to ensure all patients booked into clinics have their appointment confirmed in a timely fashion.

Ensure patients are booked into cancellation slots at short notice as required.

Take accurate messages. Obtain sufficient patient details including a name, and contact telephone number, and if appropriate NHS number and/or date of birth, for all callers.

Ensure all contacts are recorded prompt and appropriately in patients medical record.

Work and communicate effectively with team members, patients and carers, and external agencies to meet the service and patients needs.

Registering of new patients

Ensure all medical records are updated as required and appropriate. Ensuring correspondence, reports, letters, referrals, test results, etc. are filled promptly and in the correct records, ensuring that all recent correspondence is available when patients attend their consultation.

Complete all admin work for month end including 18 Week Waits/Referral To Treatments, read codes, outcomes, follow ups, onwards referrals and discharges.

Scanning and filing, as appropriate

To have a thorough knowledge of all the services policies and procedures

To work in accordance with service protocols

To cover reception rotationally with the administrative team and as necessary

To work flexibility with regards to cover of annual leave and/or sickness

Effectively manage own time, workload and resources
