Job summary

Pendleside Medical Practice are looking for a motivated, enthusiastic and committed receptionist with great Customer Service skills to join our busy surgery.

Ideally we are looking for a full time Receptionist but we would consider part-time.

Main duties of the job

The successful candidate will have a can do attitude, be self motivated with a drive to problem solve.

We are looking for an enthusiastic and autonomous working candidate to join our highly skilled, dynamic team.

Good communication skills for face to face and telephone interactions. Previous General Practice experience would be beneficial but full training would be given.

About us

Pendleside Medical Practice has a practice population of 11,500 looking after the population of Clitheroe and the surrounding villages, in the heart of the Ribble Valley.

We are an experienced Training and Research Practice with 8 GP partners supported by experienced nursing, reception and admin teams.

We also work as part of Ribblesdale Primary Care Network which provides health care for a population of over 42,000 local patients.

Job description

Job responsibilities

The successful candidate will ensure administrative and clerical duties with in the practice are carried out within the practices guidelines and policies.

The listed duties and responsibilities are not exhaustive and remain subject to change.

Reception Duties

  • Implement office procedures and work in accordance with written protocols
  • Receive patients, consult with members of practice team
  • Process appointment requests for appointments from patients by telephone and in person.
  • Act as a care navigator in directing callers to the appropriate healthcare professional.
  • Use own judgment, practice systems and communication skills to ensure that patients who need urgent consultation are seen according to need.
  • Enter requests for home visits ensuring to carefully record all relevant details and referring to duty doctor where necessary.
  • Deal with general enquiries, explain procedures and make new and follow-up appointments.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery
  • Registrations of new patients computer data entry and medical records.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover in accordance with Practice policy and procedures.
  • Process patients changes of address computer data and medical records
  • Advise patients of relevant charges for private (non GMS) services, accept payment and issue receipts.
  • Ensure a working knowledge of telephone system during and after hours
  • Respond to all requests and queries from patients, team members and associated healthcare agencies
  • Input and extract patient information to and from the EMIS Web Clinical System as required.
  • Take messages and pass on information in a timely and appropriate manner
  • Scan and photocopy as required
  • Have working knowledge of telephone system, during and after hours
  • Process and distribute incoming and outgoing mail
  • File and retrieve paperwork update as necessary
  • Keep the reception area, notice-boards tidy and free from obstructions and clutter
  • Inform line manager of low stock levels i.e. stationary or other supplies
  • Be able to cover all reception positions as necessary to meet the needs of the practice
