Job summary

Our practice is in a purpose built health centre in Killingworth. We have a small and friendly administrative team who work well together to meet the needs of our patients and support the clinical team.Our ethos is to be welcoming and to try to provide the best quality health care that we can.

Main duties of the job

Our team take turns to work on the front desk, greeting patients and answering questions. They also do shifts on back desks answering the phones to patients, other health professionals and members of the public. Some of the time is dedicated to administrative work - processing e-consults, helping with prescription duties, scanning and coding post or summarising medical records.

About us

We have a team of 5 doctors, 3 nurses, a medicines management team, practice manager, office manager and administrative staff. We are a busy practice and getting busier, so we are expanding our admin team to try to help process work more quickly and efficiently. We are increasingly dependent on our admin team to help support new ways of working, texting patients, processing e-consults etc.

JOB DESCRIPTION Administration and Reception

Answerable to: Practice Manager

Security

IF on duty at start or end of the day - opening and closing the surgery. Check blinds, window and door locks as appropriate, checking rooms empty, switching off lights and setting alarms

Observing who is in the building during the day and checking identity when uncertain.

Front desk

Welcoming patients to put them at their ease

Answering the telephone

Making appointments for doctor, nurse and other health professionals

Taking requests for and issuing repeat prescriptions, following the protocols

Recording messages by using Tasks and email as appropriate.

Receiving and recording requests for home visits

Passing messages to patients as requested

Receiving and recording patients complaints, passing them on as appropriate

Receiving new patients to the doctors list, and explaining procedures

Coding

Scan letters to the clinical system

Import electronic letters and discharge summaries to the clinical system

Read, prioritise and code letters, passing on to clinical team as appropriate

Check summaries of newly registered patients to ensure they are accurate

Administrative responsibilities

Processing requests for e-consults

Sending and receiving Accurx messages

Advising patients about services available as an alternative to GP consultations

Tracking GP referrals on the e-referral system to find responses to advice and guidance requests, and rejected referrals

Summarising notes including use of GP2GP

Sending referral forms via the e-referral system

General

Tidying reception area and waiting room

Participating in cross cover for colleagues absences

Meetings and Education

Attending staff meetings and education sessions as requested

Taking part in audit and surveys as required

  • Good people skills
  • Keyboard skills and a demonstrable ability to learn new systems
