An exciting opportunity has arisen to join our well-established, friendly practice at Moss Street Surgery. You would be working closely with our Assistant Practice Manager and with the support of our GP Partners to provide leadership to our Reception, Admin and Clinical Teams.

The Practice Manager will play a critical role in the efficient and effective management of our GP surgery. This individual will be responsible for overseeing all administrative aspects of the practice, ensuring compliance with regulatory requirements, managing financial performance, optimising operational efficiency, and fostering a positive work environment for staff.

Key Responsibilities:
Operational Leadership:
- Lead and oversee the day-to-day operations of the practice, ensuring efficient workflows and high-quality patient care.
- Develop and implement policies, procedures, and protocols to streamline operations and enhance efficiency.
- Lead staff meetings and PPG meetings. Attend external stakeholder meetings where appropriate. Report back pertinent agenda items to the Partners/staff.
- Recruit locum staff members when required.
- Manage PGDs, PSDs and protocols for the Nursing Staff team.
- Organise flu and/or Covid clinics (including home visits) where appropriate.
- Keep up to date with QOF, QIF and other points-based schemes. Ensure our actions and data coding in practice will achieve the necessary targets.
PCN Involvement
- Attend PCN meetings and report relevant information back to the practice.
- Balance the needs of the PCN with the practice needs when making decisions involving PCN projects.
- Implement PCN projects/current focus points in practice where appropriate.
Financial Management:
- Ensure invoices are authorised, paid and filed in a timely fashion.
- Process claims for various contractual services that the surgery undertakes.
- Monitor income streams to ensure our forecasted income is correctly received.
- Process staff payroll.
- Act as administrator for NHS Pensions and the NEST Pension scheme.
- Act as administrator for GP Partner pensions processed through PCSE.
Human Resources and Staff Management:
- Carry out annual staff appraisals.
- Lead in the recruitment process for clinical staff. Oversee the Assistant Manager in the recruitment process for non-clinical staff.
- Supervise and evaluate staff on an ongoing basis to ensure smooth operational running.
- Foster a positive and collaborative work environment, promoting staff engagement and professional growth.
- Manage staff training opportunities, including BlueStream modules.
- Ensure compliance with recruitment laws.
- Maintain up to date staff files.
Regulatory Compliance and Quality Assurance:
- Ensure compliance with all applicable laws, regulations, and guidelines governing healthcare practices.
- Implement and maintain quality assurance processes to uphold the highest standards of care and service.
- Manage the process of recording and discussing significant events.
- Prepare the Practice for CQC inspections and take part in these inspections.
Patient Experience and Satisfaction:
- Act as the practice Complaints Officer and process patient complaints in line with the practice complaints procedure. This includes, responding to, investigating and recording complaints, and recommending remedial actions.
- Address patient concerns and feedback, working to improve the overall patient experience.
- Engage with the PPG, organise and attend/lead PPG meetings.
Technology and Systems Management:
- Oversee the implementation and maintenance of IT systems.
- Optimise the use of technology to enhance operational efficiency and data security.
- Liaise with customer support staff in order to maintain technology within the practice.
Strategic Planning and Business Development:
- Collaborate with senior leadership to develop and execute strategic plans that align with the practice's goals and objectives.
- Identify opportunities for business growth and development, proposing initiatives to expand service offerings and patient reach.
