An opportunity has arisen for a part-time Receptionist/Care Navigator to join our friendly team due to an internal promotion.
We are seeking an enthusiastic team member, who is able to work in a multi-tasking environment. Previous experience in a General Practice setting would be desirable, however not essential as training will be provided to suitable candidates.
Main duties of the job
- The main objective of the role is to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
- The person appointed will provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- The appointee will be required to demonstrate a good level of customer service and IT skills.
- Undertake a variety of administrative duties to assist in the smooth running of the practice.
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
- Processing repeat prescriptions in accordance with practice guidelines.
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
About us
Moss Street Surgery is a friendly GP practice serving a population of around 5,000 patients. Our clinical team consists of 2 GP partners, a salaried GP, Practice Nurse, Health Care Assistant and a number of other Healthcare professionals.
Salary: Negotiable. Dependent on experience but minimum of £9.04 per hour.
NHS Pension: Eligible to join
Working Pattern: Part-time - 21 hours per week
Monday: 14:00 to 18:30
Tuesday: Day Off (unless covering absence)
Wednesday: 08:00 to 13:30
Thursday: 08:00 to 13:30
Friday: 13:00 to 18:30
Must be flexible to cover annual leave/sickness.
Annual Leave: 5 weeks increasing up to a maximum of 6 weeks after 4 years of service.

Administration
- To have a
thorough knowledge of all Practice procedures and apply as necessary.
- To work
in accordance of written protocols
- Pulling/filing
notes for surgeries and update as necessary
- Filing
post in medical records
- Opening
and date stamping incoming post
- Photocopying
as requested
Reception
- To cover
reception desk, telephones and main reception duties in keeping with
practice protocol in a promptly and courteous manner.
- Receiving
patients consulting with members of practice team
- As
Receptionist/Care Navigator booking and directing patients to the most
appropriate source of help or Healthcare Professional right person first
time.
- Handing
completed repeat prescriptions to patients/pharmacies and checking names
and address.
- Accepting payment and handing out
receipts for forms, medicals etc.
- Taking messages and recording them
and checking they have been actioned by appropriate team member
- To respond to and deal with all
routine and complex enquiries.
- To explain practice procedures and
requirements to new patients and temporary patients, providing new
patients with all appropriate documentation and appointments enabling them
to register with the practice.
- To respond to requests for results
of blood tests, x-rays etc are dealt with ensuring third party
compliance is also adhered to.
- Liaise with all clinical staff
reporting any problems to the reception/Practice Manager or GPs as
appropriate.
- Be able
to cover all reception positions as necessary
- Maintain good working relationships
with other members of the practice/primary care team and staff from other
agencies.
Appointments
- Process
appointment requests for today/future appointments from patients by
telephone and in person.
- Booking
and directing patients to most appropriate source of help.
- Book
interpreters as and when required.
- Enter
requests for home visits on the clinical system/day book ensuring all
relevant details are recorded and where necessary refer to the appropriate
services.
Computer
- Deal with
the day to day running of the computer system and enter patient
information, coding and/or treatment (medication changes) as authorised.
- Registration
of new patients/temporary residents computer data entry and medical
records.
- Ensure
all new patients are registered on to the computer system promptly and
accurately.
- Process
patients change of address computer data and medical records (have
knowledge of practice area).
- Process
repeat and acute prescription request in accordance with practice
guidelines.
- Register
patients for online services and deal with prescription requests from the
service.
- Have working
knowledge of coding structure to use as necessary when entering referral
and other appropriate information.
- Be
familiar with the document scanning procedure.
- Checking
surgery email account periodically throughout shifts and dealing with any
queries from within.
Telephone
- Have
working knowledge of telephone system, including transfer of calls, using
divert numbers and answer machine as necessary
- Receive
and make telephone calls as required. Divert calls and messages ensuring
accuracy of detail and prompt appropriate delivery.
- At the
end of the day, ensure the telephone system has been transferred correctly
to the out of hours service and secure the practice building.
Other
Tasks
- Open up premises at the start of
the day when first to arrive and make all necessary preparations to
receive patients.
- Ensure that the waiting room and
reception area is left tidy at all times.
- Ensure
building security have thorough knowledge of opening/closing procedures.
- Ensure
that all prescription stationery is locked away at the end of the working
day.
- Any other
tasks allocated by managers within the scope of the grade.
- To be
