We are excited to be recruiting for a full time Administrator to join our fantastic SPRING team.

SPRING is a partnership of General Practice Alliance and other health and social sector organisations, commissioned to improve the wellbeing of people in Northamptonshire through Social Prescribing.

Main duties of the job

Our SPRING Social Prescribing service gives people time to talk about what matters to them, create a personalised plan and access the support they need within their local communities.

As SPRING Administrator, you will be responsible for managing all referrals coming into the service, screening and allocating new clients and booking them into initial appointment slots with their link workers.

Job responsibilities

Call clients referred to the Spring service to inform them of the service, identify eligibility, interest, and suitability (including risk, interest in the service and readiness for change), book client into initial contact slot.

Contact referrer to confirm receipt of referral, and whether referral has been accepted or declined, educating referrers in eligibility and suitability criteria where appropriate.

Allocate and book initial link worker appointments and manage the initial assessment diary slots spreadsheet effectively communicating with link workers.

Acting as main point of contact for all correspondence in relation to cohort groups, screening, triaging, and booking people onto group sessions.

Provide administrative support to update database with outcome measures and action plans from cohort groups.

Main point of contact for all invoices relating to the Spring wellbeing activation fund, create purchase order numbers, source payment approval, manage invoice queries, manage amazon business account, balance monthly accounts.

Manage and organise room bookings for meetings and events, ensuring that all supporting arrangements are in place. Including the preparation and distribution of agendas and taking, transcription and distribution of minutes/ action notes. Follow up of action points arising from meetings.

Supporting spring lead with generation of statistics for monthly reports, extracting information from database.

Provide administrative support to the GPA Spring Service as directed by Spring Lead.

Qualifications

Essential

  • Educated to GCSE Level (5 GCSEs at grade C or equivalent inc. English Language and Maths)
  • Demonstrable commitment to professional and personal development.

Experience

Essential

  • Experience of working in direct contact with people, families or carers
  • Experience in setting up and maintaining office systems
  • Experience of working on databases

Desirable

  • Experience of taking and transcribing minutes of meetings

Skills and Knowledge

Essential

  • Ability to produce high quality, professional documents, with good keyboard skills.
  • Good working knowledge of Microsoft Office (Intermediate Level in Word, Excel, PowerPoint & Outlook)
  • Good communication and interpersonal skills (verbal and written), capable of constructing and delivering clear information with a can do attitude.
  • Good organisational and prioritisation skills, with the ability to work under pressure in a busy working environment and able to multi-task
  • Able to work on own initiative and/or as part of a team
