Job summary

Newgate Medical Group is a large GP Practice. We are currently seeking a Scanner/Data Quality Inputter to join our busy IT department.

We are looking for an organised, accurate, hardworking individual who is keen to learn and join our IT team. If you are calm and confident, have excellent communication skills, can work under pressure, maintaining composure with a sense of humour, love all things IT and are able to quickly gain new skills we would love to hear from you.

Newgate Medical Group (NMG) is a single practice Primary Care Network (PCN). Our objective is to improve health and wellbeing to more than 30, 000 residents in the Worksop area. Main duties of the job

To provide an efficient and responsive administration service within the Practice. Be responsible for scanning of patient related documentation and attaching scanned documents to the patients healthcare records. Review of clinical letters ensuring they are processed appropriately, in line with protocols. Photocopying of documentation as required. In addition, the post-holder will also support the multi-disciplinary team, providing administrative support as required, in line with the needs of the practice.

To be responsible for the read-coding of relevant information into the patients electronic health care records on Systmone clinical system, adhering to the Practice coding policy.

To be responsible for undertaking a wide range of data inputting duties in support of the IT team.

To help with the day-to-day functionality of the Practice IT systems. Duties can include but are not limited to administration of databases, user accounts, housekeeping, upgrades and general enquiries, ensuring all issues are resolved or escalated in a timely manner.

We are a large Practice. We have an established team of 7 GP Partners, Locum GPs & a host of varied health professionals including pharmacists, nurses, ANP's, PA, Paramedics, Physiotherapist, Social Prescribing link worker, care co-ordinators & a large admin team.

Job responsibilities

As a Scanner/Data Quality Inputter at NMG your duties will be varied as new processes and systems are introduced. The following are the core responsibilities for the role. There may be on occasion, a requirement to carry out other task; this will be dependent on factors such as workload and staffing levels:

a. Review all clinical letters ensuring they are processed appropriately, in line with extant protocols

b. File and store records as required

c. Photocopy documentation as required

d. Action all personal work related incoming emails and mail in a timely manner

e. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

f. Process all correspondence received by the Practice on a daily basis onto the clinical system using the Practice Protocol

g. Receive and process any incoming mail into the Practice system in a timely manner

h. Distribute clinical/non-clinical correspondence to Practice members

i. Read coding data on systmone

j. Extracting the required data from clinical correspondence and inputting the data into the patients electronic healthcare record

k. Coding all secondary care hospital letters

l. Maintaining effective security of data at all times

m. Support the team in the effective use of the clinical system

n. Provide guidance in troubleshooting when requested

o. Act as a liaison between the Practice and manage all fault reporting

p. Stay up to date with the surgery services

q. Uphold confidentiality at all times

r. Comply with Practice Health and Safety Policy at all times

s. Maintain a clean, tidy, effective working area at all times

t. Support all staff with general administrative tasks as requested and approved by the Senior IT Manager

In addition to the primary responsibilities, the scanner/data quality inputter person may be requested to:

a. Review and update role related policy as required (in conjunction with the Senior IT Manager)

b. Stay up to date with all relevant protocols and policies

c. Attend staff meetings, in house Best Meetings, Mandatory training, Primary health Care team meetings as requested

d. Support IT team, remaining professional at all times and communicate effectively with your colleagues

e. Assist in the administration and coding of safeguarding documentation ensuring timescales are met

f. To undertake and carry out any other reasonable tasks/duties as requested by the Senior IT Manager or Management Team.
