Job summary

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general and administrative assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Front facing role providing patients with support, information and navigating to them accodingly.

Main duties of the job

Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice. Deal with all general enquiries explain procedures and make new and follow-up appointments.

Using your own initiative and communication skills ensure that patients with no prior appointment but who need urgent consultation are dealt with according to Practice policies.Receive and make telephone calls. Divert calls and take messages, ensuring accuracy of detail.

Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours. Enter patient information on to the computer as required. Patient notes and correspondence: Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to. Opening and closing of premises.

Ensure that all new patients are registered onto the computer system promptly and accurately undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Management Team.

To undertake data quality checking when requested including assisting with enhanced service administration, QoF data work and other forms of data input. To undertake administrative duties for the Business/Office Manager as required.

Job responsibilities

Provide general and administrative assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice. Deal with all general enquiries explain procedures and make new and follow-up appointments.

Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Ensuring careful recording of all relevant details and where necessary refer to On-call Doctor. Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same. Enter patient information on to the computer as required. Patient notes and correspondence: Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to. Opening and closing of premises. Ensure that all new patients are registered onto the computer system promptly and accurately undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Management Team. Data Processing and patient record maintenance: To assist with all electronic processing of incoming clinical information to include scanning and work flowing of secondary care correspondence. To assist with read coding of clinical data as required for the maintenance of patient records. To undertake data quality checking when requested including assisting with enhanced service administration, QoF data work and other forms of data input. Assist in the preparation of incoming patients records for summarising. To undertake administrative duties for the Business/Office Manager as required.

It is essential that the post-holder is able to demonstrate full flexibility to cover various shifts which are allocated on a rota basis between 07:30-18:30 MON-FRI. Please note rotas could occasionally change at short notice. There is no current requirement for weekend working however this may become a requirement in the future.
