Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team
Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies
To provide a comprehensive secretarial, administration and information service. Ensure an efficient and confidential service is provided.

Job responsibilities
- Work as part of a multi-disciplinary team to deliver safe and high quality care.
- To triage incoming electronic and hardcopy post as appropriate
- Reviewing medical records and producing an accurate summary of the patients medical history
- Summarising incoming electronic and hard copy post according to agreed protocols
- Read coding medical information into the practice clinical system
- Ensure summarising of patient notes is accurate and succinct.
- Correcting any anomalies in patient notes as required
- Dealing with queries in relation to coding
- Assisting GPs with queries relating to medical records.
- To work with other administrators and healthcare professionals to provide a first class service to our patients.
- To ensure clinical coding is recorded in a timely and accurate manner in accordance with both national and the Practice guidelines and standards
- To extract, interpret and independently code clinical information from clinical letters and Discharge summaries from Hospitals and Clinics
- To participate in quality improvement initiatives, identifying areas where the processes used within the coding function can be improved and assist in implementing.
- Process scanning daily for incoming patient documentation in line with the practice procedure.
- To maintain and develop effective communication across the team
- work closely with other members of the secretarial / Administration team, and under the guidance and support of the Practice Manager (or delegate).
- establish and maintain filing and administration systems so that written or electronic information is easily accessible, accurate and secure.
- receive incoming and initiate outgoing calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with queries.
- process patient referrals in accordance with practice protocols and procedures.
- record and accurately relay messages.
- use a full range of office equipment and software.
- participate in legal, regulatory, administrative and professional responsibilities of the practice team.
- ensure accurate notes of all consultations and treatments are recorded in the patients' notes on the clinical computer system as appropriate.
- ensure accurate completion of all necessary documentation associated with patient health care and registration with the practice.
- ensure collection and maintenance of statistical information required for regular and ad hoc reports.
