Job summary

The post is primarily to work within our Reception Administration department covering 20 hours per week. the normal hours of attendance will be:

Tuesday 8am to 2pm 

Thursday 1 pm to 8pm

Friday 8am to 4.30pm 

The Reception Administration team comprises a team of 9 who work closely with our clinical team to ensure we provide our patients with the best possible service.

This role includes the need to be flexible and to offer support with additional tasks across the Patients Services Team, when required.

Main duties of the job

Book appointments and recalls ensuring sufficient and accurate information is recorded

Receive, divert and make calls as required or take messages as appropriate, whilst ensuring that the practice procedure for confidentiality is followed at all times

Ensure efficiency of appointment system and monitor flow of patients into clinical rooms

Ensure patients without appointments who need urgent consultation are seen in a logical and non disruptive manner

Respond to queries and requests for assistance from patients and visitors

Explain practice arrangements to new patients and those seeking temporary cover, ensure all procedures completed.

Ensure that new patient registration forms are correctly completed and are supported by all the necessary paperwork. Register the new patient on the system as quickly as possible

Ensure that temporary resident forms are completed accurately and registration details entered onto the computer immediately where possible

Ensure Workflow and Tasks are dealt with accurately and appropriately as quickly as possible

Action requests for ambulance transportation and record details as appropriate or direct patients to the correct organisation

Pass on information regarding unresolved or urgent problems at the end of each shift

We are an expanding General Practice operating from a large, fit for purpose building.  Enjoying a large and successful multi-disciplinary team we provide services for the population of Bourne and surrounding area.  Within the Practice we have 3 main departments, excluding the GP team, covering Dispensary, Nursing and Patient Services.  It is this latter area for which this post is offered.

Job responsibilities

Ensure that the computer database is kept up to date and accurate. Registration records should be checked at every opportunity to ensure accuracy

Retrieve and respond to internal and external emails in an appropriate manner adhering to practice computer and email policies at all times

Report all problems with computer equipment or printers to the Patient Services Manager in the first instance unless you are able to resolve the problem without assistance or harm to the equipment

Keep your own work space neat and tidy

File correspondence, reports and results in alphabetical order after they have been scanned and retain for three months

Attend practice team meetings and training sessions as and when arranged

Extract patient records and prepare information for return to the Health Authority.

Qualifications

Essential

  • A good general education is required. GCSE Grade C or above in English and Maths.
  • A good working knowledge of Microsoft products including word and email

Desirable

  • Previous General Practice clinical system experience, preferably EMIS Web.
