Main duties of the job

  • Efficient Referral Management:Execute referrals promptly, demonstrating a comprehensive understanding of the diverse range of referral types and pathways. Take full ownership of the referral process from initiation to completion, ensuring seamless patient care.

  • Proficient IT Utilisation:Confidently and efficiently utilise IT systems to support administrative tasks, including scanning, coding, and other role-related duties. Ensure accuracy and efficiency in all digital processes.

  • Insurance and Third-Party Administration:Oversee the administration of insurance and third-party requests, ensuring all processes are handled with precision and compliance.

  • Flexible Administrative Support:Provide versatile administrative cover across various departments as needed, adapting to business requirements and ensuring continuity of operations.

  • Support for Statutory and Contractual Obligations:Assist in managing the practices statutory and contractual responsibilities, ensuring all obligations are met in a timely and efficient manner.

We operate in a large and modern purpose built medical centre with free parking in the LS8 area of Leeds.

Our skill mix is equally diverse. In addition to 11 GPs, 4 nurses, 1 Nurse Associate, 2 Health Care Assistants and a Phlebotomist, we also have our own Pharmacy Technician and Mental Health Practitioner.

The clinical team are supported by a talented team of receptionists and administrators led by a Reception Supervisor, a Service Support Manager, an Operations Manager and a Business Manager.

Job responsibilities

Referrals Management:

  • Accurately complete and process patient referrals to specialists and other healthcare providers.
  • Ensure all referral documentation is complete from beginning to end and submitted in a timely manner
  • Understand the process of each referral and the avenue required to ensure successful completion of referral.
  • Serve as a point of contact for patients, addressing enquiries and providing information as needed regarding referrals.
  • taking ownership of the referrals in ensuring completion from start to finish such as checking rejections and responses to allocate to the correct department.

Correspondence Handling:

  • manage correspondences with healthcare providers, patients, and other relevant parties regarding patient care and referrals
  • Ensure all communications from different healthcare providers, practice staff and patient are documented and filed appropriately.
  • Accurate coding of documents when completing scanning and other SystemOne tasks

Administrative Support:

  • Assist with general administrative tasks such as scanning, document management of incoming and outgoing letters and other correspondences
  • Support staff with insurances, Third party requests from various companies and organisations.
  • Understand the process of patients accessing their medical health records and giving permission for carers/guardians to access records on their behalf
  • Support the practice team with ad-hoc tasks as required.

Team Collaboration:

  • Work closely with medical staff and other administrative personnel to ensure referrals are completed efficiently.
  • Cover Annual Leave and sickness where required for other Admin staff.
  • Participate in team meetings and contribute to continuous improvement initiatives.
