Salford Medical Centre is a GP surgery with almost 10,000 patients. We are the fastest growing practice in Salford taking on average 200-300 registrations per month. We have a branch practice called The Quays Practice which currently operates out of Ordsall Health Centre.

Due to our rate of growth we are looking to recruit an additional 2 full time Senior Reception / Administration members to work across both our main site Salford Medical Centre and our branch site - The Quays Practice.

All of our Reception team are trained in aspects of reception & administration work which keeps each day different and engaging. The right candidate will be a hard working & organised team player. We are looking for someone who is flexible and eager to learn new skills. Excellent communication skills are essential and a good understanding of IT is desirable. Experienced candidates in General Practice working would be an advantage however full training is provided in-house so inexperienced candidates should not be discouraged.

Competitive salary will be dependent on experience & skills.

37.5 hours per week to be worked over 4 or 5 days with an unpaid 30 minute lunch break (where working over 6 hours).

You must be able to work between the hours of 8am - 6:30pm.

Main duties of the job

  • Answering & making calls to patients, relatives & other health care workers
  • Appointment management
  • New patient registrations
  • Referrals on ERS
  • Summarising / read coding
  • Recall Management
  • Prescriptions
  • Front of house for patients & visitors
  • Actioning tasks from the clinicians.

The right candidate will have excellent communication, computer literacy, time management & team working skills.

The ability to work overtime & be flexiable with hours will be essential to ensure holidays / sickness do not interfere with our ability to offer our patients an excellent service.

We currently work on the EMIS clinical system as well as using Footfall, Docman & Informatica

Job description

Job responsibilities

The following are the core responsibilities of the senior medical administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The senior medical administrator is responsible for supervising and supporting the administration team, ensuring they achieve their primary responsibilities:

a. Processing incoming and outgoing mail

b. File and store records as required

c. Photocopy documentation as required

d. Action all incoming faxes

e. Process calling letters as requested

f. Data entry of new and temporary registrations and relevant patient information

g. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

h. Process referrals to external agencies such as secondary care

i. Input data into the patients healthcare records as necessary

j. Action GP2GP tasks

k. Process referrals using the electronic referral system (ERS)

l. Process incoming e-test results, ensuring they are referred to the relevant clinician

m. Read code data on EMIS

n. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

o. Manage all administrative queries as necessary

p. Carry out system searches as requested

q. Maintain a clean, tidy, effective working area at all times

r. Support all clinical staff with general administrative tasks as requested

s. Process all DNA letters in accordance with current protocol

t. Coordinate and produce meeting agendas and record the minutes of meetings

u. Support administrative staff development, providing guidance and direction, ensuring staff are up to date with mandatory training

v. Identify and provide team training where required

w. Monitor and promote the use of the Friends and Family Test
