Main duties of the job
To provide general secretarial support to Partners,
Doctors, Nurses and Management involving word processing and audio typing
skills with general clerical work including hospital referrals. All duties are to
be carried out within the Practices guidelines and policies.
Applications
are welcomed from experienced secretaries who have excellent communication
skills, the ability to multitask and be a strong team player whilst being able
to prioritise own workload and work under pressure at times. You need to be willing to be flexible to cover
staff shortages.

Medical Secretary
REPORTS TO: Administration Team Manager
HOURS: Part Time/Full Time
Job Summary:
To provide general secretarial support to Partners, Doctors, Nurses and Management involving word processing and audio typing skills with general clerical work.
To ensure administrative and clerical duties in the Practice are carried out within the Practices guidelines and policies.
Job Responsibilities:
General Secretarial:
- Letters listening to audio dictation (server based) and typing to agreed quality standards, producing letters for the doctors to sign and then processing these to be posted. The performance aim for this task is to clear all letters waiting in the prioritised queue to agreed performance standards.
- Hospital referrals managing the referral system, which is computer based (E-Referrals), ensuring all referrals are processed within specified breach times and dealing with any arising queries.
- IT / admin support to doctors and management, this task includes (but is not limited to); producing all general surgery letters, reports, updating protocols, dealing with Practice notes from GPs etc.
Specialist Tasks:
- Clinics to deliver other clinic organisational support as required.
- Practice Development meetings collating the Critical Incident/Learning points/Good Practice forms and preparing the information for the meeting, attending the meeting, compiling and distributing the minutes.
- Referral Audit collating figures (weekly and monthly) and sending to the CCG as required.
