Job summary

We are looking for a dedicated and productive Reception Team Lead to support and enhance our reception team.

The main duties of this role are varied and include general reception duties, taking patient enquiries both at front desk face to face and on the telephone, general day to day administration, e.g. econsults, emails, reports, scanning, recalls, prescriptions etc.

Main duties of the job

The post holder is responsible for overseeing the reception team ensuring practice standards for patient facing and administrative tasks are completed to accepted practice standards.

They will work collaboratively with the general practice team; lead GP partners, Practice Nurses, and Practice Manager to meet the needs of the patients, ensuring that practice policies and procedures are followed and ensuring compliance with CQC Essential Standards of Care.

Look after the health & safety and wellbeing of reception staff as well as any patients in the waiting room and reception areas.

We are a 5,000-patient practice located in the North of Sunderland. Our premises is easy reached by the A19. We use EMIS Web clinical system.

Job responsibilities

Main Duties and Responsibilities

Staff Management

1. Administer the systems for annual leave, sickness absence, TOIL and overtime, and maintain appropriate records ensuring accurate information is submitted in time for payroll.

2. Oversee the reception team in line with practice HR policies, protocols and service standards.

3. Manage and record holiday absences for all reception staff and organise appropriate holiday cover for staff.

4. Authorise and arrange staff overtime to meet gaps in staff rotas and agreed increases in activity/workload.

5. Undertake six monthly one to one meetings with staff to review their development objectives, performance, and any other work-based issues.

6. Undertake annual appraisals with staff.

7. Identify, organise, and deliver training identified from staff personal development objectives.

8. Monitor reception staff sickness in accordance with the practice sickness policy and provide timely records to the Practice Manager.

9. To oversee the accuracy of records for staff holiday, overtime, sickness and other leave and update on the HR platform.

10. Manage staffing levels within the agreed budgets.

11. Interview and appoint new reception staff members when appropriate, support to be provided by the Office Manager and/or Practice Manager where appropriate.

12. To co-ordinate the induction and training of reception staff.

13. Organise and host regular meetings with reception team. The post holder will prepare agendas and distribute minutes/action points from these meetings.

14. Supporting the GP's dealing with safeguarding information requests.

Qualifications

Essential

  • NVQ Level 3 or equivalent level of skills, knowledge and experience.
  • Good standard of grammar and spelling in the English language.
  • Excellent ICT skills, including familiarity with Microsoft Office software, particularly excel, and previous experience of working with databases.
  • Knowledge of Reception procedures and experience to deal with non-routine requests and issues.

Desirable

  • Training or qualifications in management.

Experience

Essential

  • Experience working in General Practice, Public Sector or Healthcare Environment.

Desirable

  • Experience of management of staff within General Practice.
  • Experience of using a clinical system (EMIS/System One)
  • Experience of dealing with complaints
  • At least 1 years' experience of managing or supervising staff.
  • Experience of giving feedback and training to improve staff performance.
