The role has
been created to provide administration and rota management of the clinical GP, Nursing,
and other clinical staff (30 staff) using System 1 covering 2 sites.
Main duties of the job
The role has
been created to provide administration and rota management of the clinical GP,
Nursing, and other clinical staff (30 staff) using System 1 covering 2 sites.
The role will
also manage the administration reception team rota, covering 2 sites.
The role will
support and manage staffing on the community module for extended access in
conjunction with our Primary Care Network.
Both rotas
will require day to day management, amending for sickness and holiday.
This role will support proactive planning of school holiday and other
key dates on the rota.
The role will support annual clinical events, e.g Flu & Covid
The role will support the GP in training team, provide induction
rota, liaise with in house GP trainers team, to provide tutorial rota management
and annual leave cover week to week.
It requires a high level of attention to detail to ensure an
excellent service is provided to the clinical and non-clinical staff at the
practice. The individual will be a key point of contact for staff at I G Medical.
You must be
able to demonstrate excellent organisational skills, with the ability to work
both independently and as part of a team, prioritise workload, work under
pressure, multi-task and meet deadlines when required.

IG Medical is situated in West Yorkshire with sites in Ilkley and Grassington. Our patient list is approximately 18,000.
Our clinical team includes 5 GP Partners, salaried GP's, 1 Advanced Clinical Practitioner and our nursing team consists of Practice Nurses, Health Care Assistants and a Phlebotomist. All supported by our hardworking Managers, reception and administrative teams.

The following
are the core responsibilities of the Rota Manager role. There may be on
occasion, a requirement to carry out other tasks; this will be dependent upon
factors such as workload and staffing levels.
a)
Provide rota appointment
set up and amendment support to the clinical team, including GP, Nursing team,
and other clinical staff across 2 sites.
b)
Provide data for monthly
rota meeting with PM & Partner
c)
Provide
day to day support for the administration teams, with rota planning and
management of all areas across 2 sites.
d)
Effectively
manage the annual leave, study leave, meetings, sickness and any other for all
clinical staff, using the clinical rota and inputting data into Intradoc system
e)
Communicate
sickness frequency to the HR lead for monitoring purposes.
f)
Manage
overtime requirements for clinical, nursing and administration teams along side
the lead for that area.
g)
Flagging
up any areas of concern.
h)
Manage
and support GP registrars with support from the GP trainer.
i)
Maintaining
records for annual leave rota for clinical team, on a separate spreadsheet to
ensure fairness across the year and years.

provide support for team leaders and management team.
