Job summary

We are a large medical centre in the heart of the busy town of Kenilworth, providing health care services to thousands of patients through innovation and business efficiency and by hiring high calibre staff to ensure the delivery of a more expansive range of services, available closer to home with excellent patient care and service.

We are currently recruiting for a Receptionist/Administrator to join our friendly team to help support the centre in achieving our visions, values and objectives.

Hours are flexible between 18 and 37.5 hours a week. Looking to recruit 2-3 new members of staff.

Hour would be a variation of early and late shifts, between the hours of 7.45am and 8pm

Main duties of the job

Job responsibilities

JOB TITLE: Medical Receptionist/Administrator

MAIN PURPOSE OF THE POST: To provide a point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff.

RESPONSIBLE TO: Reception Lead/Practice Management

MAJOR DUTIES AND RESPONSIBILITIES OF THE POST

1. Reception duties

(i.) Receive and make calls as required. Divert calls and take messages as appropriate

(ii.) Respond to all requests by patients requiring appointments with member of the clinical team, ensuring adherence to the practice protocol for booking appointments

(iii.) Book nursing appointments for recalls, following appointment timeframes(iv.) Manage all queries as necessary in an efficient manner(v.) Periodically monitor patients still waiting to see the clinician to ensure patients are seen in a timely manner(vi.) Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure procedures to add these patients to the clinical system are completed

(vii.) Data entry of new and temporary registrations and relevant patient information as required

(viii.) Advise patients of relevant charges for private services, accept payment and issue receipts for same

(ix.) Respond to all queries and requests for assistance from patients and other visitors

(x.) Enter requests for home visits and telephone calls into the appointments system, including all relevant information and where necessary refer to the managing doctor

(xi.) Ensure that requests for prescriptions are processed within the practice set time frame

(xii.) Support all clinical staff with general tasks as requested(xiii.) Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records(xiv.) Ensure reception and waiting areas are kept neat and tidy(xv.) Ensure adequate supplies of stationary and relevant forms are available within the reception area.(i.) Ensure all locum doctors are familiar with practice procedures on arrival and issue them with a locum pack

2. Start and end of day procedures

(i.) Open up premises at the start of day, set alarm to day function and make all necessary preparation to receive patients

(ii.) Secure premises at end of day, ensure the building is totally secured; computers are logged out and switched off, internal lights off, doors locked and alarm activated

3. Training/Meetings

(i.) To attend any relevant training courses arranged by the Practice(ii.) To attend regular staff meetings

4. Any other delegated duties considered appropriate to the post
