Thirsk Doctors Surgery are delighted to be hiring an additional Medical Receptionist. The successful candidate will be responsible for undertaking a wide range of Receptionist and Administrative duties and the provision of general support to the multidisciplinary team.

Main duties of the job

To be responsible for undertaking a wide range of reception duties and administrative tasks and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required. Hours of work will be between the surgery opening times of 8am to 6.30pm and discussed with you at the interview stage.

To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers, including the use of the electronic referral service.

Ensuring all reception and administrative duties are performed effectively and to the required standard, meeting the objectives of the organisation. Support the management team in promoting quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development and carry out other duties as directed by the management team.

Hours per week: 24 hours per week temporary contract (maternity cover)

Pay rate: £9.98 per hour

Place of work: Thirsk Doctors Surgery – opening times 8.00am to 6.30pm

Reports to: Reception Manager, Practice Manager

Closing date: 4th January 2022

Interview date: 11th January 2022

Primary key responsibilities

The following are the core responsibilities of the Medical Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

· Maintain and monitor the practice appointment system

· Process personal, telephone and e-requests for appointments

· Answer incoming phone calls, transferring calls or dealing with the callers’ request appropriately

· Signpost patients to the correct service

· Initiating contact with and responding to, requests from patients, team members and external agencies

· Clinically code data on the clinical system

· Photocopy documentation as required

· Data entry of new and temporary registrations and relevant patient information as required

· Input data into patients’ healthcare records as necessary

· Manage all queries as necessary in an efficient manner

· Carry out system searches if requested

· Maintain a clean, tidy, effective working area at all times

· Monitor and maintain the reception area and notice boards

· Support all clinical staff with general tasks as requested

· Partake in audit as directed by the practice manager when required

· Support administrative staff, providing cover during staff absences

· Action incoming emails and correspondence as necessary

· Scan patient related documentation and attach scanned documents to patients’ healthcare records

· Complete opening and closing procedures in accordance with the duty rota

· Order and monitor stationery supplies

· Produce, maintain and participate in the receptionist rota for lunch and out of hours cover

· Partake in mandatory elearning and face to face training

· Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room

Administrative Tasks

· Typing letters, reports and associated documentation as required by the GP's and management team

· Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

· Maintaining an accurate referrals database

· Processing letters as requested

· Processing referrals using the electronic referral system (ERS)

· Processing requests for information i.e., SAR, insurance/solicitor’s letters and DVLA to the administrators

· Produce meeting agendas and record the minutes of meetings when required

· Any other Reception tasks as delegated by the Reception Manager eg. Deductions, baby immunisation clinic appointments, cervical screening appointments and accompanying correspondence
