Job summary

At Churchmere Medical Group were passionate about care. We are a forward-thinking and supportive practice with a list size of 21,000 and and have an exciting opportunity for a Patient Services Manager to join our team.

The role will include management of the call centre and reception team across all our sites in Ellesmere and Whitchurch including recruitment, training and development of the team.

Starting Salary £30,000.00 dependent on experience.

Main duties of the job

We are seeking a competent and forward-thinking individual who has previous experience of managing a team. The successful candidate must be able to plan, adhere to deadlines, meet targets and be able to form good working relationships.

About us

We are a rural practice based in North Shropshire across the towns of Ellesmere and Whitchurch. Our practice has a list size of 21000 patients, boasts consistently high QOF achievement and dispenses from our Ellesmere site.

We are proud to have a diverse multidisciplinary team including a minor illness team, mental health nurses, paramedic, pharmacists, occupational therapists, social prescribers and physiotherapists.

Job responsibilities

Job Summary:

Develop, organise and manage the call centre, reception areas and staff along with the day to day delivery of services to our patients.

Implement agreed policies and consider the introduction of new services across Churchmere to ensure efficiency and staff development. Working closely with the management team and assist in the overall development of the Practice.

Job Responsibilities:

Staff Management

Manage the Patient Services Team.

Provide induction training and ongoing review/performance management/appraisals to your team

Ensure Practice policies are followed and accurate records are kept

Organise and co-ordinate your teams staff rotas

Liaise with management team concerning staffing and organisation of work

Liaise with other members of the primary health care team, outside agencies and Practice volunteers as required

Manage team holiday requests whilst maintaining adequate staff cover

Where necessary cover PSA duties and workload to ensure a safe and effective service is maintained especially during times of annual leave/sickness

Patient services

Plan and monitor the services being offered to patients

Review existing arrangements for provision of appointments and opening times and suggest developments

Monitor appointment availability and develop improvement plans as appropriate

Develop and maintain information and leaflets for patients accessing services

Ensure adequate staffing for patient services

Assist in organising flu clinics and co-ordinating administrative staffing

Patient Involvement & Communication

Work with the Patients Group to develop increased patient involvement in the practice

Develop relationships with the Patients Group and explore options for service development with them

Develop and produce regular Practice newsletter

Attendance at evening Patient Group Meetings

Co-ordinate health promotion displays and other notice boards

Clinical Team

In conjunction with the Clinical Workflow Administrator:-

Management and creation of all clinical rotas, availability, allocations, changes

Facilitate the organisation of duty rotas, co-ordinate leave requests

Update appointments system for leave/duty changes

Manage and book locums as needed

Manage the clinical room rotas and bookings of rooms by external providers

Oversee any medical student placements and develop personalised rota

Develop working relationships between the clinical and reception teams
