Job summary

The purpose of the role is to:

Offer assistance to the Practice team and the patient population and project a positive and friendly image to patients and visitors, either in person or via the telephone.

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of clerical support to clinical staff and other members of the Practice team.

Clinical Coding in accordance with practice policies.

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

Main duties of the job

The duties and responsibilities to be undertaken in this role are

General reception duties which include greeting patients and visitors face to face, telephone or email, booking appointments via SystmOne in accordance with practice policy around care navigation and utilising tools such Ardens to assist.

Processing patient requests via email, telephone or face to face for visits, prescriptions, and any other general queries in a timely and efficient manner.

Clinical Coding-Process documents and code in line with the in-house policy and under the direction of the Data Quality & IT Lead/Practice Manager.

General office duties such as filing, scanning and processing both incoming and outgoing post.

Opening up/locking up of Practice premises and maintaining security in accordance with Practice protocols

Maintaining and monitoring the Practice appointments system

Assisting patients with their requests face to face,telephone oremail for appointments in line with the practice care navigation policy.

Process requests for repeat prescriptions in accordance with practice policy.

General office duties such as filing, scanning and incoming and outgoing post.

Clinical Coding inline with the practice protocol and under the direction of the Data Quality & IT officer/Practice Manager.

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards

Actively reporting of health and safety hazards and infection hazards immediately when recognised.

Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role

Undertaking periodic infection control training (minimum annually)

Reporting potential risks identified.

Experience

Essential

  • Knowledge and experience of Microsoft Office applications such as Word or Excel. Experience dealing with the general public in a customer focused role.
  • Clinical coding using either SystmOne or Emis.
  • Ability to problem solve and remain calm while under pressure. Effectively manage own time, workload and resources.

Desirable

  • Experience working in a GP practice or similar Healthcare setting.
  • Experience working with Arden's or AccuRx.
