Job summary

Cumbria Medical Services is looking to recruit an experienced Medical Secretary to be based at our office in Cockermouth. The postholder will provide comprehensive administrative and medical support to the doctors as required. This will include typing referral letters and arranging appointments. You will also oversee arrangements with our Hand Clinics in terms of patient referrals, dealing directly with the consultants and typing up clinic notes.

Main duties of the job

The right candidate for the post will need to have a good understanding and awareness of primary and/or secondary care with a working knowledge of medical terminology and audio typing. Main areas of resposibility include:

Providing comprehensive administrative and medical secretarial support to the Doctors as required.

Ensuring the effective management of all incoming NHS referrals and ensuring that adequate clinic slots are available at all times.

Handling of patient enquiries and requests courteously and efficiently and maintaining confidentiality of any information in connection with work.

Job responsibilities

Medical Secretary

Provide full secretarial support to the doctors, including typing referral letters and arranging appointments as required.

Assist with the Hand Clinic in terms of dealing with referrals, inputting patient details onto the Medway system, emailing consultants with clinic lists, typing up notes from clinics and sending out evaluation forms to patients.

Process and dealing with urgent 2ww referrals to ensure they are sent in a timely manner.

Type and send referrals as necessary directly to the local NHS Trusts ensuring this is recorded on the patient record.

Administration

Answer incoming calls in a polite and professional manner andretrieve referrals from the choose and book software.

Pick up tasks on EMIS and follow through with required action.

Reschedule patient appointments which result in the cancellation of a clinic, ensuring that clinic slots are correctly cancelled and reallocated.

Liaise with the GPwSI and or relevant GPs on matters relating to clinical care.

Maintain appropriate patient records and spreadsheets including results and patient satisfaction.
