Job summary

We are seeking a highly organised, detail-orientated individual to join our team at Garstang Medical Practice as a Medical Notes Summariser and Administrator, to assist in the delivery of efficient record-keeping and excellent patient care. The working hours are 7.45-6pm Monday, Tuesday, Thursday and Friday.

Main duties of the job

We are looking for a Note Summariser/Administrator to join our team performing the duties described in the job description.

We want friendly and personable candidates who have the communication skills, enthusiasm and aptitude to work alongside our existing multidisciplinary team. An exceptionally high level of accuracy and attention to detail is essential for this role. We pride ourselves on our collaborative and supportive working environment in which all staff are valued.

About us

We have a large clinical team who are well supported by our reception and admin team. We are based within Garstang Medical Centre - a modern, purpose built premises, with easy access for disabled patients. We also have our own onsite dispensary/pharmacy providing a range of additional NHS services.

Job description

Job responsibilities

Duties/responsibilities:

  • Review and summarise patient medical notes, history, and other clinical documents in line with Practice Policies, to ensure completeness and accuracy within the electronic health record
  • Work closely with other departments as needed to ensure that all summarised records are up to date and complete.
  • Proof reading records where required i.e. before release to patients, hospitals or other necessary organisations
  • Provide administrative support to the medical team as needed, relaying information to patients or booking appointments, liaising with hospitals and other providers as necessary
  • Ensure all electronic results are received and updated onto the system daily adhering to practice protocols.
  • Provide telephone cover for the reception team as required
  • Daily monitoring of the generic email addresses, responding where appropriate to patient queries following practice protocols and liaising with the managers as necessary. Passing on emailed information appropriately throughout the team.
  • Daily processing of tasks within the team workflow liaising with colleagues appropriately
  • Responding to online messages from patients
  • Dealing with patient queries; message taking and passing on of information appropriately and in accordance with practice protocols
  • Contacting patients by telephone as appropriate and as requested to do so by a clinician or manager adhering to practice confidentiality policies
  • Run searches and reports as requested and in line with practice protocols to ensure appropriate recall of patients for various clinical purposes eg, baby clinic, vaccinations, blood tests.
  • Maintain confidentiality and ensure the privacy of all patient information in compliance with the GDPR and medical data protection regulations.
  • Work with colleagues to keep an up to date how to for all administrative duties in the organisations intranet
  • Any other administrative duties appropriately delegated by the Management Team
