Main duties of the job

The Digital Training Lead/Reception Manager is responsible for the overseeing of the wider reception team and ensuring staff achieve their primary responsibilities.

Promoting online digital communications to patients and training the wider reception team to confidently use new online platforms such as iPlato and AccuRx to form new ways of working digitally.

We are a long-established, GP training practice of just over 9900 patients that is steadily growing. We are a happy, friendly place with several long-serving staff members. We have a favourable reputation among the local population and excellent relationships with neighbouring practices. We were rated Good by CQC at our last inspection and our QOF achievements are high.

Ours is a clinical team of seven regular GPs (five of whom are partners), one Advanced Nurse Practitioner, two Practice Nurses and one HCA. The clinicians are well-supported with a full team of administrative and management staff.

We are a forward-looking practice that promotes the development of ARRS roles and to this end, we currently host a Physicians Associate, two Clinical pharmacists and a Mental Health Practitioner.

We value learning and development for the whole practice, and we timetable several learning events and meetings through the year. We train people in various stages of their careers, including medical students, foundation year doctors and GP trainees.

Job description

Job responsibilities

The following are the core responsibilities of the Digital Training Lead/ Reception Manager There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Digital Training Lead/Reception Manager is responsible for:

a. Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities.

b. Managing the reception team, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training and maintaining the practice training matrix.

c. Overseeing the daily management of the practice e-mails. Reviewing, acting upon and disseminating accordingly

d. Answering telephone calls, booking appointments and processing prescriptions

e. Promoting online digital communications to patients and training the reception team to confidently use new online platforms such as iPlato and AccuRx

f. Identifying and delivering team training where required

g. Completing reception staff annual appraisals, back to work interviews, new starter inductions and attend/minute disciplinary meetings.

h. Compiling reception staff rotas ensuring sufficient cover is provided for periods of leave and other staff absences.

i. Completing medical student and trainee inductions

j. Co-ordinating the re-arrangement of any clinical sessions due to unexpected absences

k. Reviewing and updating all administrative and reception policies and procedures as required

l. Supporting the management team in the compilation of practice reports and the practice development plan

m. Support the reception team dealing with queries from patients.

n. Developing, implementing, and embedding efficient reception office processes and procedures.

o. Handling of verbal complaints and responding to written administration complaints from patients

p. Chair the Patient Participation meeting; minute take and follow up with actions on comments and suggestions made.

q. Coordinate and produce meeting agendas and record the minutes of meetings when required.

r. Acting as building fire marshal, ensuring evacuation lists are current, the visitors log is used appropriately and deputise this role when absent. Weekly testing of fire alarm.

s. Supporting the process of registering and deducting patients as well as preparing DNARs and Death Certificates

t. Carrying out system searches on EMIS as required.

u. Monitoring and maintaining the reception area, waiting room, notice boards and TLC board.

v. Co-ordinating the efficiency of administration duties with the reception team such as daily scanning and tasks

w. Preparing the organisation notepad on a weekly basis

x. Ordering medical and administration supplies from PCSE and the local hospital including FIT Tests.
