Job summary

The Evergreen surgery is based in Wanstead East London, served by excellent public transport links, and is looking to appoint a new practice manager to join its team.

We are a growing practice supporting 10,000 patients and would be keen to hear from someone with good management and leadership skills . The practice has a good CQC rating in all areas and prides itself on maintaining high standards of patient focused care. We work as part of a well established large PCN with multiple multidisciplinary roles and support systems in place.The vacancy has arisen due to retirement of our existing manager

Main duties of the job

HR- Act as operational HR lead for all staff. Working with the Partners to manage all aspects of staff performance and development . Undertake recruitment as required ensuring all processes are up to date and meeting statutory requirements. Support staff health and well being

Health & Safety Management-Maintain up to date knowledge of guidelines & legislation. Oversight of Infection Control & Health & Safety, carrying out regular audits to ensure compliance. Responsibility for maintaining and carrying out all building related risk assessments.

Communication -Be the focal point of practice level communication. Share information with all staff, patients and wider stakeholders according to need.

Management -Provide operational management to the whole practice, providing support and direction to staff and line managers. Monitor and evaluate staff performance ensuring it aligns to the practice's overall aims and objectives. Ensure CQC compliance, working with the registered managers to implement and embed practice policies. Ensure all team members have an annual appraisal and all have a regularly reviewed PDP.

Finance -Working with the Partners ensure that the Practice remains financially viable including undertaking all activities relating to payroll and banking. Ensure effective processes in place to maximise QOF/ DES and LIS income.

About us

The Evergreen surgery serves around 10,400 patients . We are a multidisciplinary team 3 GP Partners, 1 Practice manager, 5 salaried GPs, 2 Practice Nurses and HCA, Clinical Pharmacists, Paramedic access, Social Prescriber, Mental Health practitioner , and first contact physiotherapist. Our non-clinical team including reception , admin, GP assistant, deputy practice manager are focused on ensuring we deliver an efficient , effective and kind service, to our patients.

We are a training practice for GP registrars.

The Practice is a high achiever of QOF / LIS and DES programmes and provides care to 90 residential beds.

Job responsibilities

Primary key responsibilities

The following are the core responsibilities of this role. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.

The Practice Manager is responsible for

a. Overseeing the day-to-day operations of the organisation, ensuring staff achieve their primary responsibilities

b. Functional management of all clinical and administrative staff

c. Direct line management of the following staff: All salaried GPs, non GP clinicians, deputy practice manager and all other staff not line managed by the previous list. Supervision of visiting PCN staff

d. Managing the recruitment and retention of staff.

e. Ensuring that all staff undertake a robust induction process, including staff employed via the PCN

f. Establishing, reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed.

g. Implementing and embedding an effective staff appraisal process

h. Implementing effective systems for the resolution of disciplinary and grievance issues

i. Ensuring compliance with HR legislation

j. Operational HR Lead.

k. Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively

l. Implementing and embedding an efficient business resilience plan (BRP) in conjunction with the Business Partner

m. Coordinating the reviewing and updating of all organisation policies and procedures in conjunction designated partner

n. Leading change and continuous improvement initiatives; coordinating projects within the organisation as directed by the the Partners

o. Coordinating the compilation of organisation reports in line with the practice development plan (PDP)

p. Ensuring the team reaches QOF targets (supported by the nursing and administrative leads)

q. Adopting a strategic approach to the management of all patient services matters

r. Developing, implementing and embedding an effective communication strategy (internal)

s. Ensuring the organisation maintains compliance with its NHS contractual obligations

t. Actively encouraging and promoting the use of patient online services

u. Publishing communications for internal and external use such as an the website/ PPG

v. Liaising at external meetings as required

w. Marketing the practice appropriately

x. Supporting the management of the Patient Participation Group

y. Management of all complaints in line with current legislation and guidance.

z. The management of the premises, including leading on health and safety aspects such as risk assessments and mandatory training
