Job summary

Stourside Medical Practice is a forward thinking GP Practice situated in Halesowen town centre, just a short distance from Birmingham and on the main bus routes.

We are looking for a Workflow Administrator/clinical coder to join our non-clinical team to support our clinical colleagues and together delivering the best possible service to our practice population of 6,000 patients. Clinical coding experience is essential.

Main duties of the job

The successful candidate will be responsible for :

  • The workflow management of all in-coming documents (both electronic and paper ) and the clinical read-coding of these documents using Emis Web clinical system in conjunction with Docman.
  • Adhoc administration duties including scanning,
  • Summarising of medical records
  • Other administrative tasks

The successful candidate will be organised, have good time management skills and excellent attention to detail. The role is demanding but satisfying and The role is 20 hours a week over 2.5 days ideally with flexibility needed to cover colleagues annual leave.

About us

Our non-clinical team is small but very experienced and supportive of each other.

Our clinical team is made up of GPs, practice nurses, a diabetic specialist nurse with support staff on site including a midwife, pharmacists, physio and a dietician.

We are based in Halesowen Health Centre with a wealth of community services such as District Nurses and Health Visitors also based in the building.

Job responsibilities

Job summary

To be responsible for the work flow to clinicians and read coding of relevant information into patients electronic healthcare records on Emis Web clinical system, adhering to the practice coding policy.

The processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

In addition, the post holder will also support the multi-disciplinary team providing administrative and secretarial support as required in line with the needs of the organisation.

Primary key responsibilities

The following are the core responsibilities of the Workflow Administrator/Clinical Coder. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

a. Accurately work flowing incoming documents and clinically coding data on Emis Web into the patient record

b. Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action

c. Inputting and extracting data as required to support practice reports

d. Filing and storing records as required

e. Photocopying documentation as required

f. Actioning all incoming correspondence, emails and mail in a timely manner

g. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

h. Inputting data into patients healthcare records as necessary

i. Answering incoming telephone calls put through from reception dealing with the callers request appropriately

j. Carrying out system searches as requested including 2WW weekly audit and monthly referral audit

k. Maintaining a clean, tidy, effective working area at all times

l. Supporting all clinical staff with general administrative tasks as requested

m. Back up role of liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

n. Processing calling letters as requested

o. Processing referrals using the electronic referral system (ERS)

p. Managing all administrative queries as necessary

In addition to the primary responsibilities, the Clinical Coder may be requested to:

a. Review and update the practice coding policy as required (in conjunction with the Practice Manager

b. Partake in audit as directed by the audit lead
