Job summary

The post holder is a key member of the PCN Operational Team whose over-arching goal is to provide high quality administrative and project support to the PCN. They will be required to work under the guidance of the PCN Leadership team as well as use their initiative to maintain the effective delivery of key projects including the provision of information and analysis. This will be achieved through the effective use of information, data, knowledge and technology systems to inform and support PCN agreed initiatives and meet the needs of the local population.

The post holder will be required to maintain constructive relationships with a broad range of internal and external stakeholders within and beyond the PCN.

Main duties of the job

The successful candidate will have excellent IT, written and verbal communication skills, with experience of working on projects, data management and reporting, including appropriate skills for gathering, analysing, interpreting and presenting data/ information.

You will be highly organised, able to work as part of a team but also able to manage your own workload and prioritise.

Experience in General Practice or the wider NHS would be an advantage but is not essential. The successful candidate will be supported to develop and deliver their role and the role is subject to a six month probationary period.

About us

Mid Dorset Primary Care Network is made up of 9 GP practices in the Dorchester area of Dorset. The practices have a history of collaborative working and provide care for around 48,000 patients. As we grow, we are looking to recruit a full time Project Officer, working over 5 days to support the development of our Primary Care Network.

The successful applicant will be employed by and based at Cerne Abbas Surgery, working with the nine general practices at scale to successfully implement the requirements of the PCN DES and other primary care initiatives. The post holder will be part of the PCN Management Team, reporting to the Business Manager and Clinical Director. Although based at Cerne Abbas, you will be required to travel to work across the PCN. There will be occasional evening working and potential for some home working at times.

As a PCN we offer a positive working environment and support the development of our staff. The salary for this role is similar to AfC Band 4.

Project Management

  • Take ownership and complete appropriate follow-up actions for projects.

  • Develop or use existing reporting and audit tools to assist with the monitoring, updating and reporting.

  • Liaise with stakeholder organisations to take forward specific areas of work.

  • Prepare reports, project plans, meeting documentation and other communications.

Operational Responsibilities

  • Develop and maintain communication and information channels.

  • Work with finance manager, supply relevant information for financial management and keep exact records.

  • Develop network protocols and procedures, review and update as required.

  • Plan, develop and evaluate methods and processes for gathering, analysing, interpreting and presenting data and information, including population health management.

  • Provide support to practices in the implementation of the latest development in PCN primary care IT.

  • Monitor and evaluate performance of the PCN against objectives.

  • Monitor the PCNs compliance with NHS contractual obligations in relation to patient care, including responsibility for compliance with GDPR regulations.

  • Support the workforce recruitment, competency frameworks and contracts for additional roles within the PCN.

  • Attend in-house governance, educational and staff meetings as appropriate.

  • Build and maintain relationships with other healthcare professionals.

Administrative Support

  • Provide professional administration and co-ordination support to the PCN Management Team.

  • Be a first point of telephone/email contact for the network.

  • Maintain and manage electronic filing systems on shared drives.

  • Source and co-ordinate appropriate dates, venues and facilities for meetings. Support the organisation, planning and servicing of events.

  • Undertake other administrative duties, managing emails and correspondence within agreed timescales.

  • Support the procurement of equipment, supplies and services.

Team working

    • Work as an effective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working.

    • Accept delegation from senior staff, prioritise own workload and ensure effective time management strategies are embedded in own practice.

    • Participate and support local projects as agreed with the management team.

  • The role will require some travel to other sites in the Mid Dorset PCN area.
