We are pleased to offer opportunity for a new team member to join our Administration Team at Walderslade GP Practice.
The practice is in Hoyland, Barnsley and is an extremely busy practice with lots of phone calls, lots of visitors and a great deal of variety on a day to day basis.
The role involves working 5 days per week (Monday to Friday) basis 37 hours in total.
Main duties of the job
The role involves undertaking a wide range of data inputting duties in support of the
multidisciplinary team.
Duties can include but are not limited to, read coding
information from patients’ clinical records, correspondence from other care
service providers and other sources on the practice clinical system, adhering
to extant policy and procedure. In
addition, the post-holder will also support the multi-disciplinary team,
providing administrative support as required, in line with the needs of the
practice.

Walderslade Surgery is a large practice with 11 General Practitioners, 6 Practice Nurses and 3 Health Care Assistants.
The clinical staff are supported by a team of administrative staff consisting of the Practice Manager, Jayne Hackleton; Receptionists; Administrators and Secretaries.

The following are the core responsibilities of the data administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Read Coding data on Emis clinical system
- Extracting the required data from clinical correspondence and inputting the data into the patient’s electronic healthcare record
- Coding all secondary care (hospital) letters
- Code results and upload data as required
- Maintain effective security of data all times
- Support the team in the effective use of searches, audits and recalls
- Support the team in the use of the clinical system
- Provide guidance in trouble shooting when requested
- Monitoring patient call and recall systems
- Configure searches and interpret data for audit purposes
- Carry out system searches as requested
- Collate the required data for reporting purposes
- Partake in data quality improvement projects
- Ensure new patient records are received electronically and imported onto the clinical system
- Process patient online applications as required
- Assist in the administration and coding of safeguarding documentation ensuring timescales are met
- Assist with queries regarding safeguarding matters and refer appropriately
- Reviewing records and accurately producing a summary of the patient’s medical history by accurately read-coding data on Emis clinical system
- Reviewing progress of summarising ensuring practice targets are achieved
- Review all clinical letters ensuring they are processed appropriately, in line with extant protocols
- File and store records as required
- Photocopy documentation as required
- Action all incoming faxes, emails and mail in a timely manner
- Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
- Input data into the patient’s healthcare records as necessary

- Maths and English GCSE or equivalent at Grade C and above.

- Excellent communication skills, including a polite and friendly telephone manner, a constructive solution focused approach and a professional appearance. Excellent references, occupational health clearance and the ability to pass the Disclosure and Barring Service check. An ability to work independently after training.
