Job summary

We are looking to recruit a full time or part time Medical Receptionist to join our friendly team of receptionists, doctors, nursing and other health care workers covering both surgeries - Taliesin Surgery, Lampeter and Brynmeddyg Surgery, Llanybydder on a rota basis.

The ability to converse at ease with patients in Welsh is highly desirable.

Computer and IT skills are essential.

Salary is approx. £17,800 per annum/pro rata (depending on experience) and benefits include joining the NHS pension scheme and 25 days’ annual holidays plus bank holidays.

Main duties of the job

Working up to 37 hours a week Monday – Friday with cover required over the hours of 8.00 am - 6.30 pm, duties will include dealing with patient enquiries both in person and over the telephone as well as a wide variety of confidential administrative work.

About us

It is a highly pressurised and very busy environment and so experience in a similar role would be advantageous though not essential, as would a professional, confident, calm and friendly attitude.

Job responsibilities

Job Title: Medical Receptionist

Responsible to: Reception Team Supervisor

Hours: Full Time or Part Time (up to 37 hours)

PURPOSE OF JOB

To provide high quality, professional reception and administrative duties at both practices, Taliesin and Brynmeddyg.

To act as first point of contact for patients and provide general assistance in a positive, friendly and professional manner, ensuring queries are handled efficiently and courteously.

MAIN DUTIES & RESPONSIBILITIES

· Greet patients and visitors to the practice.

· Book in, amend and cancel patient appointments on the Clinical System (EMIS).

· Accurately record home visits and triage requests taking as much detail as possible.

· Answer incoming telephone calls efficiently, ensuring details are accurately recorded and directed as necessary.

· Take telephone messages for practice staff and process according to practice procedures.

· Preparing and posting of outgoing mail.

· Register new and temporary patients accurately onto EMIS.

· Retrieve and re-file medical records required, ensuring strict alphabetic order is adhered to.

· Produce repeat prescriptions in a timely manner for GP’s signature, ensuring accurate recording on patient records.

· Opening and closing of practice, activating/deactivating the alarm, ensuring all windows, external doors are secure and that prescriptions are locked away and telephones transferred to out of hours cover before leaving the premises.

· Record and process requests for medical reports and copies of patient records in accordance with practice procedures.

· Ensure reception desk, waiting areas and notice boards are kept neat and tidy, re-stocking patient leaflets as needed.

· Ensure reception office is kept organised and tidy.

· Work effectively in a team

· Attend staff meetings and training sessions as and when necessary.

· Any other duty which may be required to ensure that the practice is run efficiently and pleasantly for patients, doctors and staff.

· Work safely at all times in accordance with Health and Safety procedures.

· Ensuring all sensitive information in relation to patients, carers, practice staff, other health care workers or business of the practice is only divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
