Main duties of the job
1.
Ensure staff are managed and
adhere to HFPG policies and procedures.

Provide administrative support
to the Group Practice Manager.

including Clinical staff are utilised efficiently and effectively

are regularly monitored and progress toward targets are reported to HFPG Group

We are an accredited academic teaching & training practice with opportunities for successful applicants contribute to the development of the next generation of GPs. We also contribute to appropriate research projects through our relationship with Keele University Medical School.
We are based across 3 sites and have around 12,300 patients

As well as a fab clinical team consisting of nurses, HCA's UCP's ANP'S GP's pharmacists, pharmacy tech, physiotherapist, mental health worker, social prescriber, STR worker

Directly Accountable to Group Practice Manager
Summary of Duties and responsibilities:-
The assistant manager, will, with the direction and support of the GP Partners and Group Practice Manager,
Ensure staff are managed and adhere to HFPG policies and procedures.
Provide administrative support to the Group Practice Manager.
Ensure staff resources, including Clinical staff are utilised efficiently and effectively
Ensure organisational targets are regularly monitored and progress toward targets are reported to HFPG Group Practice Manager and Partners.
Contribute to financial and organisational planning.
With the direction of the Group Practice Manager ensure there is regular communication at all levels and issues are reported immediately.
Maintain effective communication with the Local and wider NHS organisations.
Staffing and People Management
To provide administrative support to the Group practice Manager and liaise on the day to day running of the practice with both clinical and non-clinical staff.
- Assist and oversee the evaluation & organisation of staff induction and training ensuing that all staff are adequately trained to fulfil their role
- Support the Group Practice Manager and HR support in planning and co-ordinating the recruitment, induction of new staff.
- Oversee the preparation of weekly/monthly shift planning for Practice Staff, arranging cover (including locum cover) when necessary.
- Ensure that all staff are legally and gainfully employed. Monitor skill-mix and deployment of staff
- Oversee management and Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies)
- To oversee the monitoring of staff annual leave, sickness and absence and mitigate any impact to practice staffing rotas.
- Ensure all Practice staff are aware of the need for confidentiality, both of patient and Practice information.
Assist with active programme of clinical audit with the support of the Group Lead Nurse
To ensure necessary clinical cover is in place on a day to day basis.
Monitoring Practice Performance and Targets
- To read and be aware of all the primary Care KPIs and relevant targets and contractual obligations, including;
- Enhanced Services
- Locally Commissioned Services
- QOF (Quality Outcomes Framework)
- GP Contract
- CQC compliance
- Medicines Management and additional Services.
- Monitor and evaluate performance of the Practice team against objectives; identify and manage change
- Identify any underperformance, plan and implement processes to achieve targets with GPs, Partners, and with the Group Practice Manager formulate communicate with relevant staff an improvement plan.
- Overseeing lease and service agreements
- Ensure that Practice premises are properly maintained and cleaned and that adequate fire prevention and security systems are in place.
- Oversee that equipment servicing schedules are adhered to
Strategic Management and Planning
- Keep aware of current changes in the wider NHS and ICB and identify potential threats and opportunities.
- Contribute to Practice strategy; formulate objectives and research and develop ideas for future Practice development.
Financial Management
- To assist the PM and accounts assistant in overseeing the practices accounts
- To assist the PM with payroll and pension submissions
- To assist the PM in ensuring smooth cashflow is coming into the practice
- Ensure the procurement of Practice equipment, supplies and services within target budgets
Organisational
- Organise meetings ie Nurse, GP, Receptionist, supervisor, clinical etc, prepare agendas, write notes and ensure distribution of minutes/actions as necessary.
- To assist the clinical director with management of PCN staff, ensuring supervisions are booked, appraisals carried out and quarterly reports are gathered to assess what work has been done by the PCN staff.
- To work with the other PMs and operational manager in the PCN to ensure targets are being worked too, data is being updated. Claims are being made
- To oversee and assist in the development of Practice protocols and procedures, review and update as required..
- Initiate and participate in development of effective systems of communication and cooperation between doctors, staff and other members of the primary health care team. Attending and contributing to practice planning and development meetings with partners.
Patient Services
- Ensure that the Practice complies with NHS contractual obligations in relation to patient care
- Maintain registration policies and monitor patient turnover and capitation
- PCSE management
- Assist in working with the patient participation group
- Manage patient support of the IT DQ lead, surveys as directed by the Practice Manager
- Ensure that agreed statistics , reports and research activities are collected/undertaken either self or by appropriate delegation
- Ensure planned meetings occur in order to enable efficient practice planning and organisation
- Attending members board meeting/ ICB engagements in the absence of the PM
Information Management and Technology
- Evaluate and plan alongside IT lead and PM Practice IT implementation and modernisation of GP access for patients.
