An exciting opportunity to join our team.

Responsible for the day-to-day supervision of all reception team and associated functions, ensuring all functions are carried out in accordance with agreed procedures, protocols and time-scales, and reporting to the practice manager as necessary. Promote a harmonious and professional atmosphere in this public facing role.

Main duties of the job

Provide induction training and ongoing review alongside the Practice Manager

Oversee e-learning of all reception staff

Ensure adequate staffing levels, approve annual and other leave, and organise rotas ensuring all functions are covered as required

Manage day to day issues that may arise within the team or with individuals

Organise duty rotas, co-ordinate Doctor availability

Ensure smooth running of IT systems

Report faults to IT, Docman,

Ensure security of data at all times

Undertake Staff return to work interviews and update the Practice Manager of sickness

About us

Finney Lane Surgery is an established, friendly and supportive GP Practice in Heald Green, Stockport.

The Practice, which has a Good CQC rating, is located within the Stockport CCG and provides healthcare to 6,500 patients.

The Practice has 4 GP Partners, salaried GP's, Practice Nurses, HCA's, a Practice Business Manager and a team of reception and administrative staff.

Well-being is important to us and has led to regular team-building activities as diverse as a sunflower growing competition, pumpkin carving and lunchtime exercise sessions. Job description

Job responsibilities

Supervisory Role:

Induction and training of all new staff to agreed standards

Oversee e-learning of all reception staff

Ensure adequate staffing levels, approve annual and other leave, and organise rotas ensuring all functions are covered as required

Deal with more complex enquiries from patients including informal complaints relating to reception functions

Manage day to day issues that may arise within the team or with individuals

Regularly evaluate quality of individual and team performance

Support the annual appraisal process for reception staff

Deal with general telephone enquiries from patients and general public

Process requests for EMIS access to prescriptions, booking and records access

Organise duty rotas, co-ordinate Doctor availability

Ensure smooth running of IT systems

Report faults to IT, Docman,

Extraction of necessary data from clinical correspondence and input into Electronic Patient Record

Update patients records accordingly with Personal information

Ensure security of data at all times

Manage Lab links to include delegation to individual Drs

Patient contact with follow ups from Tasks and Workflow requests

Manage patients records accordingly with relevant information that the practice receives

Collate information that outside agencies may require (including searches)

Manage and update patients records

Provide and sort cover that may be needed within the Admin team

To participate and support H&S standards and documentation under the guidance of the Practice Manager.

Maintain records of incidents, reviews and training in fire prevention, health and safety and basic life support.

Quarterly reviews of risk assessments.

To liaise with the Facilities Manager as necessary

Recognise peoples needs for alternative methods of communication and respond accordingly
