Job summary

Essex House Medical Centre is looking for an experienced and proactive medical secretary to join our friendly team.

We are looking for someone with previous secretarial experience, ideally in an NHS environment, who has excellent audio typing skills and knowledge of basic medical terminology. You will play a key role in helping clinicians manage their patients, ensuring they can access secondary care and follow-up appropriately.

The post will be for 25-35 hours per week worked over 5 days.

Main duties of the job

To be responsible and provide an efficient, comprehensive secretarial support to the doctors and health professionals involving word processing and audio typing skills with general clerical work.

You will be expected to demonstrate excellent organisational skills, be flexible and adaptable in your approach to work and cope well under pressure. You must be able to work on your own initiative, and possess excellent communication skills.

Experience of Microsoft Word, Excel and E-Mail, coupled with proven secretarial skills (including audio typing skills) is essential.

About us

Our team consists of 4 GP Partners, 2 salaried GPs, RGNs, ECPs, ANP and HCAs supported by an administration team and reception team. We are a training practice and often have medical registrars.

General Practice is a fast paced environment and our new recruit will need to be flexible and able to adapt to changes in the working routine.

Job description

Job responsibilities

  • To type all referral letters and associated correspondence for all doctors, ensuring that urgent letters are dealt with in order of priority and in accordance with the practice referral procedure. To further ensure that all letters are spell checked and then re-read for accuracy of content and grammar.
  • To process referrals through the electronic referral system (ERS) and deal with any associated patient queries.
  • Manage the ERS workflow ensuring tasks are actioned and dealt with in a timely manner.
  • To ensure that all electronic referral forms are kept up to date and new ones imported as appropriate
  • To process incoming insurance reports, requests from solicitors in accordance with the practice incoming post policy.
  • Raising invoices for reports/letters completed by clinicians.
  • Process requests for information i.e. Subject Access Requests (SAR),
  • To provide support to the clinicians on Lexacom and to deal with any problems that may arise
  • Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
  • Action tasks and/or emails in a prompt manner.
  • Process 6 week baby check paperwork.
  • Answer incoming phone calls relating to referrals and hospital secretaries, dealing with the callers request appropriately.
  • Carry out system searches as requested.
  • Maintain a clean, tidy effective working area at all times.
  • Maintain stationary stock and ordering when needed.
  • Support all clinical staff with general; administrative tasks as requested.
  • Support the Management team with tasks as requested.
