GP Practice Receptionist - Two Part Time Roles Available

Job summary

We are recruiting two part time receptionists to join our team at Winterton Medical Practice.

Role A: 20.25 hrs per week, shift cover incorporates:

Tuesday - 2 pm - 6.45 pm Winterton Surgery

Thursday & Friday 8.45 am 1 pm & 1.30 pm 5 pm Burton Surgery

*shift includes 1.25 hrs of admin each day to manage patient record notes summarising

Role B: 22 hrs per week, shift cover incorporates:

Monday 8 am 1 pm Winterton Surgery

Tuesday 9 am 12 noon & 12.30 pm 4 pm Winterton Surgery

*shift includes 3.5 hrs of admin to manage patient record notes summarising

Wednesday 8.30 am 1.15 pm Winterton Surgery

Friday 1 pm 6.45 pm Winterton Surgery

plus additional ad hoc shifts to support cover for colleagues absence.

Flexibility, good team working skills, coupled with the ability to work efficiently unsupervised is essential, along with the desire to deliver an outstanding patient experience.

Main duties of the job

Welcome patients as they arrive at the practice while covering the front desk and also dealing with patient enquiries by telephone.

Make NEW and FOLLOW UP appointments for patients on the medical computer system via telephone, face to face and Klinik (online service)

Implement Care Navigation while assessing patient appointment needs and direct to the most appropriate clinician / service.

Deal with patient enquiries and raise queries with the clinical team and feedback outcomes to the patients.

Administration: Review new patient notes to ensure the computer system is up to date with patient medical history. Full training will be given.

Job description

Job responsibilities

Aim of post: To provide the FIRST point of contact for patients on arrival in the practice. To provide assistance and help to patients in a courteous and professional manner. To perform administrative duties as necessary, for the efficient running of reception.

DESCRIPTION OF DUTIES

1 Welcome and direct patients as they arrive in the surgery. Mark patients as arrived on the computer system, when necessary

2 Make NEW and FOLLOW UP appointments for patients on the medical computer system and print patient appointment cards.

3 Answer telephone (promptly) when necessary and deal with call courteously and professionally at all times. (see Telephone protocol)

4 Print out an appointment list of following days surgeries. Retrieve notes as necessary and prepare and complete smear request forms, childhood immunisation sheets etc as required.

5 Check all notes are out for next surgeries, AS REQUIRED.

6 Print out prescriptions and complete all requests for Repeat Medication, handed over the counter by patients as required.

7 Ensure all visitors sign in.

8 Record visit requests in the visit book and print off an Encounter sheet for patient consult with Duty Doctor before accepting and approving visit request (see visit request protocol).

9 Fax check fax machine for incoming faxes and place in relevant doctors pigeon hole

10 Chase hospital x-ray/blood results by telephone as requested by the doctor.

11 To open and distribute the post appropriately twice daily.

12 Register all new patients and record in registration book. Completed registration of patients on computer system.

QUERIES

1 Record any queries in the appropriate Message book, stating patients name, address and Date of birth and give clear brief message/query. Record the date and time query received. The message book should be with the doctor at 12.00 noon and between 5.00pm / 5.30pm (earlier if the doctor is leaving early).

2 Generate and monitor queries raised as tasks and deal with any follow up actions.

3 Continually check to ensure queries are dealt with daily.

AFTER MORNING SURGERY

1. Collect and file records, if used.

2. Tidy reception area.

3. Tidy consulting rooms, removing crockery etc.

4. Prepare mail for van collection (morning only).

5. Change doctors names in waiting room and on doors if necessary.

6. Check the Duty Dr and/or GP Registrar aware of all planned and approved visits.

EVENING ROUTINE

1 As morning. Plus - see end of day procedure

2 In addition check all notes are out for following morning surgery, as required. Ensure printout for the following days surgeries are complete.

3 Switch off speech masking system, radio and self-checking system. Check ALL computers and screens switched off.

4 Check ALL consulting rooms are cleared and all Air Conditioning units turned off.

5 Ensure shutter is down.

6 Switch off photocopy machine and shredder.

7 Change doctors names in waiting room and on doors if necessary.

8 Update board in Reception area (Winterton Surgery) only.

ADMINISTRATIVE TASKS

Scanning correspondence into the medical software and read code diagnoses etc as highlighted by GPs, per nGMS contract requirements(see Scanning/History Add protocol)

Print FP10 and labels as required for repeat medication requests.

  • Checking doctors rooms are stocked with stationery and ordering stationery stocks.
  • Keeping Birth/Death board updated in reception.
  • Tidy notice board and remove out of date information.
  • Making tea and coffee for clinicians as necessary am and preparing tray pm.
  • Notes Summarising: updating patients computer records to ensure full medical history is recorded for all new patients joining the practice.

Personal qualities

The applicant should be able cope with working in a hectic environment.

Be helpful and friendly towards patients.

Have the ability to work as part of a team.

Be flexible and available to work every day if necessary (Holiday cover)

Five weeks paid holiday are given pro rata.

A Uniform in the form of a blouse is supplied for the Winter and Summer, which is worn with a navy skirt or smart trousers.
