Job summary

The Lighthouse Group Practice is looking for a Medical Administrator to join our friendly and hardworking team, working 30 hours a week. The successful candidate will play a vital role in ensuring the efficient and accurate handling of key administrative functions across the practice. Drawn from the Care Navigators, Prescribing, and Notes teams, the team provides comprehensive administrative support, including managing email correspondence, prescription processing, document scanning, patient registrations, and digital care navigation.

The Medical Administration team is based at both Southsea Medical Centre and Devonshire Avenue, and team members work varied hours on a rota basis to cover our core and extended opening times, from 07:30 until 20:00, Monday to Friday.

Main duties of the job

The team underpins the safe delivery of care by ensuring that essential patient data and communications are handled promptly and securely. They are also key users of the practices digital systems and contribute to innovation in workflow management. Main duties of the role include, but are not limited to, care navigation, repeat prescription processing, patient registrations and deductions and document processing.

Job responsibilities

Key Responsibilities

Email Management: Monitor and action practice-wide email accounts to ensure timely responses and correct task allocation.

Prescribing Support: Assist in processing repeat prescription requests, liaising with clinical staff to ensure safe and timely medication authorisations.

Document Handling: Scan, code, and assign incoming clinical and non-clinical documents via Restore and ensure these are accurately uploaded to patient records.

Patient Registrations: Manage new patient registrations, de-registrations, and updates to patient demographics in accordance with NHS guidelines.

Care Navigation Support: Utilise SystmConnect and Visiba to triage patient access requests and direct them to the most appropriate team member or service.

Notes Administration: Oversee incoming and outgoing notes, including digitisation, summarisation, and accurate patient coding.

Digital Systems Use: Operate and maintain familiarity with all practice systems including SystmConnect, Visiba, Restore, and iGPr.

Governance & Compliance: Contribute to safe, effective administration practices in line with information governance and data protection policies.

Essential

  • Experience in a healthcare administration setting
  • Strong IT skills and familiarity with digital clinical systems
  • Excellent written and verbal communication
  • Ability to prioritise workload in a fast-paced environment

Desirable

  • Knowledge of SystmOne, Visiba, and Restore systems
  • Understanding of NHS policies and primary care structures
  • Previous experience in a care navigation or prescribing support role

Qualifications

  • GCSE Maths and English, Grade C / 4 or above (or equivalent qualification)
