Part Time Receptionist 

24 Hours per week, flexible shifts, Monday - Friday

Due to internal promotions, we have a vacancy for a Practice Receptionist/Care Navigator to join our friendly practice ASAP. Hours: - 24 hours per week (this will be on various days Monday - Friday rostered four weeks in advance and working between the hours of 08:15-18:30). There will be opportunities for additional work covering annual leave when required. We are a supportive and dynamic practice committed to delivering high quality patient service. Located in south-east Sheffield we serve a stable patient population of approximately 10,100.

Salary: £9.79 per hour

Holiday entitlement: 4 weeks 1 day and bank holidays, pro rata

Main duties of the job

The successful candidate would need to have excellent customer care skills, be well organised and strive to provide the best patient care in a very busy and sometimes stressful environment.

You would need to be self motivated, reliable and able to show great initiative. You would also have a flexible approach to work and be able to cover shifts at short notice.

Computer skills, excellent telephone manner and communication skills are all essential for this role.

Brief Job Summary:

To greet, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

The duties and responsibilities to be undertaken may include any or all of the items in the following list. Duties may be varied from time to time dependent on current and evolving practice workload and staffing levels. Please note that these duties are liable for review/change at any time, to help meet business needs within the practice.

Job Responsibilities:

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.

Process appointment request for on the day / future appointments from patients by telephone and in person using Care Navigation.

Ensure the efficiency of appointment system.

Deal with all general enquires, explain procedure and make new and follow -up appointments.

Maintain patient records by obtaining, recording and updating personal information.

Monitor effectiveness of clinical computer system and report any problems.

File patient records and correspondence in patient medical records as necessary.

Scan all patients correspondence in patients computer records as necessary.

To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries and deal with all tasks.

To maintain the computer clinic system in an accurate and secure manner.

Ensure all relevant information is accurately entered onto the computer system in accordance with practice procedures.

Enter requests for home visit onto the clinical system and print out medical summaries.

Process all repeat prescription requests in accordance with practice guidelines.

Deal with prescription queries/problems and liaise with Clinical Pharmacist/GP/Community Pharmacy where appropriate or necessary.

Responsible for all incoming, outgoing and internal mail received by the practice action according to practice policy.

Photocopying, faxing, franking of mail.

To prepare, tidy and replenish medical rooms with admin resources.

To use initiative and forward thinking to realise and ensure all duties and responsibilities are carried out in a timely and appropriate manner.

To provide administrative support to the clinical team as and when needed.

To offer possible clerical/meet and greet support at a local Covid Vaccine Hub if needed.

To provide chaperone assistance when requested by a clinician, following a DBS check and certificate.

To open and close the surgery at the beginning and end of each day, following surgery procedures and guidelines.

Ensure working area, reception are kept tidy clear desk policy at the end of each day, following health and safety guidelines.

To provide cover for members of staff team during periods of sickness and annual leave.
