Job summary

It is the duty of each Receptionist to assist in the smooth running of the Practice. To project a positive and friendly image to our patients, colleagues and other professionals who may contact us either in person or via the telephone. Carry out all reception duties in a courteous and efficient professional manner.

Main duties of the job

Deal with and answer the telephone and personal enquiries promptly in a professional manner. 

Book appointments, visits and ambulance requests according to practice protocol.

Deal with all requests for Home Visits by following correct practice protocol for recording the request onto the computer system.

Proactively manage the reception area to alert patients if clinics are running behind etc.

General reception duties, which include post, prescriptions, filing and dealing with visitors to the practice.

Carry out end of surgery daily routines and ensure the practice is secure and alarm system set if necessary.

Perform any other reasonable duties which may be necessary for the efficient running of the practice and according to the duties expected of a medical receptionist.

City Walls Medical Centre is a large friendly practice in Chester city centre.  Receptionists will join our friendly administration team and become a focal point for patients, clinicians and visitors alike.  The role is demanding but is very rewarding for the right candidate

MAIN OBJECTIVES/KEY FUNCTIONS

It is the duty of each Receptionist to assist in the smooth running of the Practice. To project a positive and friendly image to our patients, colleagues and other professionals who may contact us either in person or via the telephone. Carry out all reception duties in a courteous and efficient professional manner.

DUTIES AND RESPONSIBILITIES

· Switch off the alarm system if necessary on arrival at the surgery.

· Switch on all computers, printers and other office equipment.

· Deal with and answer the telephone and personal enquiries promptly in a professional manner.

· Book appointments, visits and ambulance requests according to practice protocol.

· Receive and take messages as appropriate, ensuring that details taken are recorded / disseminated accurately.

· Deal with all requests for Home Visits by following correct practice protocol for recording the request onto the computer system.

· Explain registration arrangements to new patients and those seeking temporary cover and ensure that all the relevant forms are completed.

· Proactively manage the reception area to alert patients if clinics are running behind etc.

· Record, file and retrieve information, using the computer where necessary.

· Input data, clinical information for results onto the computer system.

· General reception duties, which include post, prescriptions, filing and dealing with visitors to the practice.

· Check all visitors into the practice and ensure that their details are recorded in the visitors’ book.

· Receive and record payments for private forms, medicals etc. Issue receipts and ensure that the payment is passed to the Office Manager.

· Carry out end of surgery daily routines and ensure the practice is secure and alarm system set if necessary.

· Attend any Practice Meetings and in-house training sessions which will be arranged on a monthly basis. There is an expectation that all members of staff will attend these training sessions – overtime will be paid if arranged outside your core hours.

· To be available to cover annual leave and sickness of team members on a fair share basis.

· Be flexible to cover the redistribution of duties and responsibilities from time to time.

· To participate in annual personal work review.

· Perform any other reasonable duties which may be necessary for the efficient running of the practice and according to the duties expected of a medical receptionist.

· Be prepared to accept and implement changes and improvements in line with practice growth.

· Observe confidentiality in all aspects of the job.

· Comply with reasonable requests to carry out extra duties in unforeseen circumstances.

· At all times to be aware of Health and Safety protocols.

· Monitor and maintain a healthy safe and secure working environment for yourself and others in the practice.

· The duties of the post-holder remain under constant review. Any changes will be fully discussed with the post-holder prior to their implementation.
