Job summary

  • An exciting new opportunity has arisen for an enthusiastic and motivated Senior Administrator to join our friendly and dedicated team.

Main duties of the job

  • The role comprises of helping to manage the day-to-day operations of the practice. This includes daily planning, enhanced services claims, human resources, patient service delivery, information technology, clinical governance, quality and performance management and health and safety.
  • This role requires a self-motivated, disciplined individual to take ownership of the efficient day to day running of the practice by supporting the Practice Manager and working as a key member of the Management Team.
  • The post holder will offer strong leadership with business, financial and people skills to continue to drive the practice forward by identifying, and acting on, practice and business opportunities. Competency in IT, effective communication and team skills at all levels are essential along with a can-do attitude and good attention to detail. General practice experience is desirable but not essential.

Job description

Job responsibilities

To provide appropriate assistance to the Practice Manager in all day-to-day activities and duties.

Staffing and People Management

To assist the Practice Manager to evaluate, organise, and oversee administrative staff recruitment, induction and training and ensure that all staff are adequately trained to fulfil their role.

Assist in planning and recruitment of Locum cover.

Oversee shift planning for practice staff and clinical staff arranging cover when necessary.

Assist Practice Manager to identify training and development needs for Practice staff.

Maintain up-to-date HR documentation alongside the manager (including job descriptions, employment contracts and employment policies).

To monitor staff annual leave, sickness and absence and mitigate any impact to practice staffing rotas alongside the manager.

Assist Practice Manager monitor staff performance including undertaking staff appraisals, welfare checks and HR meetings in line with current employment legislation.

Monitoring Practice Performance and Targets alongside Practice Manager

To be aware of all targets and contractual obligations, including.

Patient Services

Oversee, develop, and manage an effective appointments system.

Distribute and collate patient surveys and participate in improvement plans alongside the Practice Manager.

Assist Practice Manager with patient complaints in line with the practice complaints procedure

Information Management and Technology.

Assist Practice Manager to evaluate and plan Practice IT implementation and modernisation.

Maintain the Practices website/social media.

Personal/Professional Development.

The post-holder will participate in any training programme implemented by the Practice as part of this employment.
